About The Position

Responsible for or assisting in developing, planning, coordinating, performing, implementing and monitoring administrative and functional activities for the department. Approximately 75% of time is devoted to performing a variety of specialized activities and functions of professional-level tasks. Approximately 25% of tasks are concerned with analyzing, processing, maintaining and reporting Human Resource records, general administrative support planning, collection, analysis of information regarding staffing, funding and the department’s programs and services and assistance with billing and purchasing processes as needed.

Requirements

  • Five (5) years of progressively responsible administrative support, experience in an IT setting
  • High school diploma or possess a GED
  • An equivalent combination of related education and/or experience.
  • PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.

Nice To Haves

  • PMP certification is preferred.

Responsibilities

  • Provides high level administrative support of a confidential nature to the Administrator, and Managers of the ITS department, and is also used for these purposes by the CIO.
  • Coordinates all personnel functions for the department related to payroll, benefits, FMLA, staffing and compensation including positions requests, processing forms, leave request and applications and assists  in ensuring compliance with all County personnel policies.
  • Processes bi-monthly payroll for the entire department; communicates with Shelby County Finance, Payroll and Staffing Offices to ensure payroll justifications are processed within required timeframes.
  • Coordinates with Finance to complete annual fixed asset verification report for ITS.
  • Responsible for informing Shelby County IT employees of Benefit Meetings, changes and updates.
  • Assists the Budget and Procurement Manager with the creation of the annual proposed and adopted budgets, as requested.
  • Provide assistance as needed on special projects for all sections of the office.
  • Assists employees with travel arrangements, and ensures all Travel Authorizations and Travel Expense reports comply with county policy.
  • Assist the Budget and Procurement Manager with contracts and other procurement transactions.
  • Maintains inventories of supplies, equipment and materials (e.g. ordering, organizing, monitoring, office keys) for the purpose of ensuring the availability of items needed.
  • Utilize OnBase, SharePoint, Cherwell, Oracle, Questica/Team Budget, Liquid Office Applications and web-based parking application.
  • Work with other departments on special requests, relative to parking audits, vehicle maintenance schedules
  • Performs other related duties as assigned or directed.
