Leasing Coordinator (Retail) Location: Remote Position Summary The Leasing Coordinator at Last Mile Investments provides administrative documentation, and coordination support for the Leasing and Asset Management teams across a national portfolio of retail assets. Reporting to the Vice President of Asset Management, this role is responsible for managing leasing documentation workflows, maintaining organized and accurate deal files, coordinating communications, and ensuring leasing transactions move efficiently from approval through execution and handoff. This is a process-driven, execution-focused role requiring strong organizational skills, attention to detail, and the ability to manage a high volume of transactions. The Leasing Coordinator plays a critical role in keeping leasing activity organized, compliant, and on track while coordinating with brokers, tenants, legal counsel, property management, and internal teams.

Requirements

  • 2+ years of experience in commercial real estate administration, leasing coordination, property management support, or a related role.
  • Strong attention to detail and ability to manage multiple active transactions simultaneously.
  • Proven ability to organize and maintain accurate documentation and files.
  • Strong written and verbal communication skills.
  • Proficiency with document management systems, e-signature platforms, and standard office software.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • High level of professionalism when interacting with brokers, tenants, and internal stakeholders.

Responsibilities

  • Assist in drafting renewals, amendments, assignments, exhibits, and other leasing documents based on approved deal terms.
  • Prepare lease approval checklists and deal summaries to support internal approvals and signature requests.
  • Review leasing commissions for accuracy and completeness.
  • Coordinate lease abstraction reviews and approvals.
  • Draft and distribute execution emails for new leases, renewals, and amendments once fully signed.
  • Update and maintain lease clause library language.
  • Update pylon sign exhibits as required.
  • Request, collect, and track tenant financial statements, sales reports, background checks, and credit checks.
  • Assist in building and maintaining leasing vitals, deal summaries, and handoff memos.
  • Save and organize all pertinent leasing-related emails, attachments, and execute documents in appropriate folders.
  • Maintain consistent file organization and documentation standards across all active and completed deals.
  • Ensure executed documents are properly stored and accessible to internal teams.
  • Schedule and coordinate meetings and calls with tenants, brokers, legal counsel, and internal teams.
  • Coordinate with property management on HVAC inspections, bids, and other operational items tied to leasing activity.
  • Coordinate renewals and new leases with NAP marketing for social media and LinkedIn announcements.
  • Request and track background and credit checks for new leasing prospects.
  • Verify receipt of all required tenant financial and deal-related items prior to execution.
  • Run ad hoc reports to support leasing and asset management needs.
  • Assist with monthly leasing and operations update emails to the executive team.
  • Track leasing to-do items and ensure timely follow-up across active deals.
