OVERVIEW OF POSITION / DEPARTMENT The Leave Management Technician provides administrative and technical support for the City of Aurora’s leave of absence programs, including the Family and Medical Leave Act (FMLA), military leave, Employee Medical Leave, and the city’s Employee and Family Care Leave program (EFCL). Reporting to the Manager of Benefits and Wellness, this position plays a key role in day-to-day processing, recordkeeping, and employee communication related to leaves. The Leave Management Technician works closely with the Leave Management Administrator to ensure compliance with applicable laws, policies, and procedures, while providing high-quality customer service to employees and supervisors.

Requirements

  • High School diploma, GED, or equivalent
  • 1 year of administrative, clerical, or related experience
  • Basic understanding of employee leave programs and federal/state leave laws.
  • Familiarity with HR principles and practices.
  • Strong attention to detail with high accuracy in data entry and recordkeeping.
  • Excellent customer service and communication skills.
  • Proficient in Microsoft Office Suite and ability to learn HRIS systems.
  • Ability to handle confidential and sensitive information with discretion.
  • Establish and maintain effective working relationships with employees, supervisors, and HR staff.
  • Communicate clearly, both orally and in writing.
  • Manage multiple priorities and deadlines in a fast-paced environment.
  • Apply policies and procedures consistently while exercising good judgment.

Nice To Haves

  • Experience using Workday or other HR Information Systems.
  • Knowledge of FMLA, USERRA, ADA, and other relevant leave regulations.

Responsibilities

  • Process and track employee leave requests in Workday, ensuring accurate and timely entry of information and documentation.
  • Serve as the first point of contact for employees with questions about leave requests, required forms, and general program information.
  • Occasionally review submitted documentation for completeness; follow up with employees, healthcare providers, or supervisors as needed.
  • Maintain organized and up-to-date leave records in compliance with City policy and federal/state requirements.
  • Prepare routine communications to employees regarding leave status, rights, and responsibilities using established templates.
  • Generate reports on leave usage and provide data to the Leave Management Administrator and Manager of Benefits and Wellness.
  • Coordinate with Payroll and Benefits staff to ensure proper pay and benefit continuation during leave periods.
  • Support the Leave Management Administrator with audits, projects, and implementation of process improvements.
  • Participate in employee education efforts by distributing resources and directing employees to available tools and training.
  • Performs other related duties as assigned
