We are seeking a proactive, highly organized Legal Administrative Assistant (LAA) to provide comprehensive support to Real Estate attorneys in our Baton Rouge office. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment and enjoys working collaboratively with legal teams to deliver exceptional service to clients.

Requirements

  • High school diploma or equivalent; Bachelor’s degree preferred.
  • At least two years of experience as a legal administrative assistant or related experience (e.g., title and/or commercial real estate closing transactions).
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Willingness and ability to embrace new technology (e.g., document management systems and electronic signature software).
  • Excellent typing and transcription skills with a high level of accuracy and careful attention to grammar, spelling, and punctuation.
  • Strong organizational skills and ability to prioritize tasks effectively in a fast-paced environment.
  • Exceptional communication skills, both written and verbal, with a professional demeanor.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Responsibilities

  • Open, maintain, organize, and close client files in both electronic and hard-copy formats.
  • Draft, edit, format, proofread, and finalize correspondence, memoranda, reports, and transactional documents.
  • Manage attorney calendars, schedule meetings, coordinate travel, and track multiple deadlines.
  • Assist attorneys in meeting critical deadlines by maintaining agendas and providing timely reminders.
  • Enter attorney time and assist with billing and timesheet administration.
  • Answer and direct phone calls, take accurate messages, and respond professionally to inquiries.
  • Open and screen incoming mail and prepare documents for mailing.
  • Correspond with clients verbally and in writing and represents the attorney to the client in a professional manner.
  • Respect strict confidentiality requirements regarding client files.
  • Utilize legal technology tools, including document management systems, workflow technology, and electronic signature software.
  • Proactively build and coordinate relationships with other LAAs and teams.
  • Work closely with Real Estate paralegals to support transactions and ongoing matters.
  • Assist others on team, as needed, to manage client deadlines.
  • Regular and predictable in-office attendance.
