About The Position

Voya Investment Management is seeking a Legal Administrative Assistant to join our Legal Department in Scottsdale, Arizona. This is an entry‑level administrative role designed for an early‑career candidate with a bachelor’s degree and basic administrative experience who is interested in developing foundational skills in a professional legal environment. The Legal Administrative Assistant will provide routine administrative and meeting support to attorneys and legal professionals under direct supervision, with a focus on organization, coordination, and reliability.

Requirements

  • Bachelor’s degree required.
  • 1–2 years of administrative, office support, or coordination experience.
  • Basic experience supporting meeting scheduling or logistics.
  • Strong organizational skills and attention to detail.
  • Ability to follow established procedures and work under direct supervision.
  • Professional communication skills and a reliable, team‑oriented approach.
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint) and Outlook.
  • Dependable, well‑organized, and able to manage routine tasks and deadlines in a structured environment.

Responsibilities

  • Provide general administrative support to the Legal Department, including document formatting, filing, and organization.
  • Assist with scheduling meetings and coordinating calendars.
  • Support meeting logistics, including preparation and distribution of materials.
  • Maintain electronic files and shared folders in accordance with department guidelines.
  • Track assigned tasks and assist with routine follow‑ups.
  • Respond to basic administrative requests and escalate issues as appropriate.
  • Handle sensitive information with professionalism and discretion.
