The Licensing & Compliance Administrator is the operational backbone of Aruza’s regulatory compliance program. This role owns the end-to-end process of ensuring that every technician, door-to-door sales representative, branch location, and company vehicle is fully authorized to operate in each state where Aruza conducts business. Working from Aruza’s Branch Support Center in Charlotte, this individual partners closely with Operations, HR, and branch management to maintain audit-ready records, facilitate onboarding, and proactively monitor licensing deadlines before they become compliance risks. Requirements

  • 1–2 years of experience in an administrative, compliance, licensing, operations, or HR-support role
  • Exceptional organizational skills with a demonstrated ability to manage multiple deadlines simultaneously
  • Strong written and verbal communication skills for coordinating with state agencies, branch managers, and external partners
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); ability to learn new software quickly
  • High attention to detail and a process-driven mindset
  • Ability to work independently and take ownership of outcomes with minimal supervision

Nice To Haves

  • Experience working with a multi-state employer or in a regulated industry
  • Familiarity with Paylocity or similar HRIS platforms
  • Prior exposure to state Departments of Agriculture, pest control licensing, or contractor credentialing
  • Experience with fleet management, lease administration, or municipal permitting
  • Bilingual (English/Spanish) a plus, but not required

Responsibilities

  • Facilitate the full onboarding workflow for W2 door-to-door sales representatives, ensuring all state licensing applications, Department of Agriculture ID cards, and required training records are completed prior to any sales activity.
  • Maintain a real-time compliance tracker confirming that no sales representative is permitted to knock doors or sell services until all applicable state licensing requirements are met.
  • Ensure alignment with Aruza’s Responsible Sales and Customer Retention pillars; monitor D2D activity for adherence to approved sales protocols and escalate exceptions.
  • Assist incoming sales reps with system access – including Paylocity onboarding, login credentials, and basic IT troubleshooting – to enable a smooth first-day experience.
  • Coordinate completion of the required 40-hour training guide and document competency verification for each new sales hire.
  • Assist with monthly payroll processing for D2D sales representatives in Paylocity, ensuring accurate time and earnings records are tied to clocked knocking and selling activity.
  • Build and maintain a licensing tracker for all service technicians and branch managers, ensuring timely completion of state-required certifications across all four operating states: - North Carolina: Registered Technician class within 75 days of hire - South Carolina: Verifiable Technician course within two weeks of hire - Florida: 40-hour pest control documentation requirement (FDACS compliance) - Texas: 40 pest control hours, 40 termite hours, and 20 classroom hours
  • Coordinate with state Departments of Agriculture to submit applications, renewals, and supporting documentation for technician and applicator credentials.
  • Monitor certification renewal deadlines and proactively initiate renewal workflows to prevent lapses.
  • Maintain all Aruza business licenses and pest control company registrations at the state and branch level, including (but not limited to): - Texas: Pest control business license per branch location - Florida: Pest control business licensing and FDACS registration - South Carolina: Structural pest control business license - North Carolina: Structural pest control firm registration
  • Assist with office lease administration for each branch location – identify, track, and maintain local requirements such as certificates of occupancy, business tax receipts, signage compliance, solicitor permits, and fire marshal requirements.
  • Research and stay current on jurisdiction-specific municipal licensing obligations as Aruza enters new markets or expands existing operations.
  • Assist with fleet vehicle licensing and registration compliance, ensuring all service vehicles are properly documented and renewed in each operating state.
  • Track vehicle registration renewal deadlines and coordinate with Operations to ensure timely processing.
  • Maintain a centralized, audit-ready compliance documentation system covering technician licenses, sales rep credentials, business licenses, branch permits, and training records.
  • Conduct random internal audits to verify ongoing compliance across sales and service operations; produce findings reports and coordinate corrective action where gaps are identified.
  • Serve as the primary point of contact for regulatory inspections; assemble required documentation packages for any state agency review.
  • Manage end-to-end resolution of escalations submitted by sales representatives or field technicians, ensuring every issue receives a documented, closed-loop response.
  • Track escalation status and resolution timelines; communicate updates to relevant stakeholders including branch managers and operations leadership.
