About The Position

The Mail Coordinator will be responsible for managing our guests' incoming mail, including receiving mail and packages from various postal services, sorting and entering mail into our database, and working alongside the Housing Advocate team to ensure timely delivery of mail to guests. This role is a critical part of providing stability and essential services to guests working to overcome homelessness.

Requirements

  • High school diploma or GED required.
  • Demonstrated awareness of, and sensitivity to, diverse populations. Ability to contribute to the Agency’s commitment to enhancing awareness and appreciation of diverse ethnic and culture heritages are particularly valued.
  • Excellent customer service skills with the ability to communicate effectively and handle difficult situations with professionalism and empathy.

Nice To Haves

  • Previous experience working with diverse populations is preferred.
  • Previous experience working with computers, basic databases, and filing systems preferred.

Responsibilities

  • Sort, file, and distribute client and staff mail in a timely and accurate manner.
  • Prepare all outgoing mail, ensuring packages and letters are correctly labeled and stamped for accurate delivery.
  • Support Housing Advocates with mail delivery, storage room operations, and other front desk duties as needed.
  • Maintain a clean, organized, and clutter-free mail room and storage room.
  • Pick up mail from the mailbox and drop off outgoing mail to the post office on a regular schedule.
  • Manage office supply inventory and place orders as needed, with director approval.
  • Conduct facility tours for clients as required.
  • Lead the clean team every Wednesday.
  • Support Housing Advocate Supervisors and Kitchen Manager in managing the sack lunch and work verification approval lists.
  • File vital documents for clients and coordinate the issuance of these documents with case management.
  • Provide trauma-informed customer service to all guests, ensuring everyone is treated with respect and dignity.
  • Attend mandatory agency trainings, including Trauma-Informed Care, Housing Focused, De-escalation, Suicide Prevention, CPR, and more.
  • Participate in emergency drills and environmental safety activities, as required.
  • Follow all agency protocols for security, safety, and sanitation to maintain a clean and secure environment for guests and staff.
  • Maintain regular and reliable attendance as an essential function of this position.
