About The Position

This position will be full-time, onsite at our Elko, NV Operation. In this role, you will combine maintenance coordination responsibilities with general office and business process support. You'll manage parts and inventory, assist with equipment performance tracking, and provide administrative support for logistics, compliance, and financial processes. This position serves as a critical link between field operations and back-office functions, ensuring smooth communication and accurate data flow.

Requirements

  • High school diploma or GED equivalent
  • 2+ years of professional work experience
  • Previous experience in inventory management and office administration
  • Strong computer proficiency (Windows File Explorer, Microsoft Office Suite, web browsers)
  • Current professional experience with Microsoft Excel required
  • Ability to learn new software quickly and work across multiple screens
  • Strong attention to detail, accuracy, and organization
  • Ability to multitask in a fast-paced, high-volume environment
  • Excellent communication skills, both verbal and written
  • Ability to ask productive questions, problem solve, and drive solutions
  • Time management skills (ability to prioritize, be proactive, etc.)
  • A clean driving record
  • Ability to follow written and/or verbal instructions with minimal supervision

Responsibilities

  • Coordinate daily objectives with team members and maintain clear communication
  • Manage parts and inventory: order, receive, organize, and verify vendor pricing
  • Maintain bulk fluids (oil, fuel, DEF and coolant) for Elko, Golconda and Carlin sites. Utilizing Coupa and coordinating directly with outside vendors
  • Maintain cleanliness and organization according to 5S standards around shop
  • Coordinate outside repairs with vendors
  • Monitor equipment performance and update systems (Geotab, KPI boards, S7 measures)
  • Provide administrative support for logistics, DOT compliance, and financial processes
  • Process data in Coupa and other systems for payroll, billing, AP, and customer invoicing
  • Process and manage Rail Scale ticketing system
  • Answering phone calls and acting as a liaison between field operations, back-office teams, and customers
  • Assist managers and other coordinators with reporting and workflow tracking
  • Other duties as assigned by operations leadership.
