Overall Responsibility: The Maintenance Manager is responsible for executing maintenance requests by diagnosing problems and making repairs to maintain the physical condition of the community according to operating and safety standards and to ensure the service requests and repairs are made in a timely manner. This role is the primary vendor contact for all maintenance-related issues including service work, maintenance projects, and building access.

Requirements

  • 3-5 years’ experience in a similar role with scheduling responsibilities.
  • Ability to set priorities, handle multiple tasks, maintain data integrity, and meet deadlines – exceptional organization skills are required for this role.
  • High school diploma required.
  • Strong computer skills- Microsoft Office Suite (Word, Excel, Outlook, etc.) and internet navigation required.
  • Exceptional customer service skills, including strong verbal and written communication skills.

Nice To Haves

  • Bachelor’s Degree or equivalent experience preferred.
  • Salesforce experience preferred.

Responsibilities

  • Diagnose and perform minor and routine maintenance/repair involving apartment turnover as needed.
  • Electrical and plumbing repair including rodding sewer lines.
  • Security systems, fire protection equipment, entry systems, emergency power systems.
  • Finish carpentry and hardware installation.
  • Inspect the property daily to identify maintenance needs and immediately report unsafe conditions (i.e. broken gates leading to pools, broken steps, open holes, broken/burned out exterior lights).
  • Vendor Selection: Collects proposals from vendors based on required statement of work. Proposals are then submitted to the Director of Maintenance for final approval.
  • Vendor Management: Responsible for managing multiple vendors which includes the process of maintaining vendor reports, scheduling, evaluating cost, dependability, and customer service.
  • Creates purchase orders based on approved proposals to ensure PO totals match the quoted proposal amount.
  • Acts as liaison between vendors, property managers and construction/maintenance crews.
  • Work Order Management: Assign and monitor work orders to ensure they are completed on-time. Alter scheduled repairs as needed to address delays/unforeseen circumstances.
  • Reviews invoices for contract/order differences and work with Account Receivable and Payable representative for timely invoice submission.
  • Update Salesforce to ensure leasing, resident services, and other departments have correct information for move-in status.
  • Assists in identifying new and improved ways to manage current operational processes for the department. Monitors administrative procedures to improve efficiency.
  • Maintain company Resident Services standards. Respond to resident requests and work with resident to minimize/resolve problems and complaints. Follow through to ensure work is completed to residents’ satisfaction.
  • Oversees time keeping functions for the maintenance teams at assigned properties.
  • Collects insurance documents, safety certificates and warranty information as required
  • Access Control: Monitors move in/move out requests to ensure locks are changed to vendor for resident departures and updated appropriately for move-ins. Also assigns emergency key procedures (Key Track, key box locations, fireman elevator keys, lockouts, etc.) and ensures Salesforce is updated with accurate key information.
  • Adheres to all company policies and procedures in addition to applicable federal, state, and local laws.
  • Monitors HVAC and other building systems for proper operation. Also responsible for repairing building systems expeditiously for resident and employee safety.
  • Collect weekly building inspection forms, evaluate inspection results and address deficiencies in a timely manner.
  • Regularly inspect the quality of work order completion.
  • Supervise assigned team members to ensure buildings are maintained per company standards.
  • Evaluate staff performance, including annual reviews and the corrective action process.
  • Respond timely to all On-Call emergency requests. Weekend and after-hours availability may be required.
  • Ensure OSHA regulations are adhered to and enforced.
  • Perform other related duties and tasks as assigned.
