About The Position

PeopleTec is currently seeking a Management Analyst (Office Administration) to support our Huntsville, AL location. The Management Analyst (Executive Administration) will provide critical support to multiple Office of the Under Secretary of Defense for Research & Engineering (OUSW (R&E) and U.S. Army Headquarters at Executive Director and Flag Officer equivalents by combining analytical expertise with executive assistance. This role involves providing high-level management analysis, improving program performance, managing day-to-day administrative functions, and ensuring smooth communication between leadership, internal teams, and external stakeholders. The individual will facilitate program operations, support senior management with administrative tasks, and contribute to efficient program delivery through data-driven analysis.

Requirements

  • Communication Skills: Excellent written and verbal communication skills, capable of preparing clear and concise reports, briefings, and official correspondence.
  • Problem-Solving: Ability to identify and resolve complex program management challenges.
  • Technical Proficiency: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and project management software (e.g., MS Project, Primavera).
  • Organizational Skills: Strong organizational skills to effectively manage multiple tasks, projects, and deadlines while maintaining accuracy.
  • Administrative Support Skills: Experience in providing executive assistance, including calendar management, scheduling, travel coordination, and correspondence drafting.
  • Must be proficient in Microsoft Suite of tools (e.g. Outlook, Word, Powerpoint, Teams, Excel) and the Defense Travel System (DTS).
  • Ability to operate in a dynamic, fast-paced environment and meet strict deadlines.
  • Ability to multi-task and prioritize important, competing tasks and information.
  • Self-starter that needs little direction/guidance on what next steps are required with projects and demonstrate a strong attention to detail.
  • Excellent verbal communication, organizational, and interpersonal skills.
  • Ability to brief DoD senior leaders and influence decision-making.
  • Flexible and positive attitude in the face of challenges and ambiguity.
  • Ability to take initiative to better support the organization.
  • Must have a current driver's license.

  • Must be a U.S. Citizen
  • Active U.S. DoD Secret clearance is required to perform this work. Candidates are required to have a Secret clearance or the ability to obtain one upon hire, and the ability to maintain this clearance level during employment.
  • Bachelor’s Degree or higher, from an accredited university, in information technology, business administration, or related field, for the performance of these duties.

Responsibilities

  • Executive Support: Provide high-level administrative support to senior leaders, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Communication Liaison: Serve as the point of contact between executives and internal/external stakeholders, ensuring timely and accurate communication.
  • Event Planning: Assist in planning and coordinating conferences, briefings, and other program-related events.
  • Reporting & Documentation: Prepare reports, briefings, and presentations for senior leadership, ensuring clarity in program status, risks, and performance indicators.
  • Budget & Resource Management: Assist with the creation, tracking, and forecasting of budgets to ensure alignment with program goals. Identify budgetary issues and suggest solutions.
  • Process Improvement: Identify opportunities to optimize program processes, enhance efficiency, and reduce costs.
  • Compliance & Risk Management: Monitor adherence to program directives, policies, and relevant regulations. Contribute to risk management by identifying and mitigating program risks.
  • Data Collection & Evaluation: Collect and analyze data to provide insights that support decision-making and program management strategies.
  • Collaboration & Coordination: Work with cross-functional teams, government entities, contractors, and stakeholders to ensure effective program execution and resolve issues as they arise.
  • Document Management: Organize and maintain files, correspondence, and documentation for easy access and compliance with security protocols.
  • Meeting Coordination: Arrange meetings, prepare agendas, take minutes, and ensure follow-up actions are completed.
  • Correspondence Drafting: Draft emails, letters, reports, and other correspondence on behalf of senior management.
  • Office Management: Oversee office supplies, equipment, and other resources to ensure smooth office operations.
  • Program Analysis: Conduct ongoing analysis of program operations, performance metrics, and resource utilization. Identify inefficiencies and propose corrective actions.
