Requirements

  • 8+ years of experience, including 5+ years of experience in equity/stock plan administration for a large global public organization or equivalent experience gained and developed in a similar role.
  • Strong technical and computer skills including Microsoft Office Suite, HR systems, data visualization and reconciliation.
  • Advanced Excel proficiency, including experience working with large data sets, building and reviewing analytical tools, auditing work, and ensuring data integrity and accuracy.
  • Exceptional attention to detail and excellent analytical, problem-solving and critical thinking skills and proven ability to make informed decisions. Curious nature and investigative approach. Capable of identifying and resolving issues independently and timely.
  • Experience with Fidelity PSW equity platform is required.
  • Equity Compensation Associate (ECA) plus progress toward Certified Equity Professional (CEP).
  • Knowledge of U.S. federal, state, and local taxation, as well as general knowledge of global taxation as it relates to equity compensation.
  • Excellent verbal and interpersonal skills; demonstrated ability to build cross-functional relationships and communicate confidently with both senior leaders and stakeholders.
  • Highly organized, self-motivated and dependable, including working well independently while prioritizing workloads, and working well under pressure.
  • Flexibility collaborating with global teams within their time zones.
  • You’ll have a bachelor’s degree, preferably in mathematics, human resources, business administration, finance, or equivalent.

Responsibilities

  • Own the daily operations of equity administration working closely with the company’s third-party equity plan administration vendor. Additional vendors include transfer agent, auditors, and tax and equity valuation consultants.
  • Ensure the accurate and timely processing of equity related transactions, such as annual and off-cycle grants, stock option exercises, restricted stock unit distributions, and quarterly dividend distributions on outstanding eligible awards.
  • Review tax rates for upcoming equity transactions and liaise with the company’s global payroll department to ensure tax compliance.
  • Monitor outbound data feeds and audits inbound automated interfaces between HR and payroll tax data and Fidelity PSW, which may require troubleshooting with technology department.
  • Assist global payroll and tax compliance to ensure equity related transactions are captured appropriately within global payroll systems. Completes and assists with audits as necessary.
  • Track and maintain calendar for Section 16 Officer reporting events.
  • Coordinate with the company’s Global Mobility, Payroll and Tax Compliance functions to track and maintain records of cross-border associates.
  • Provide accurate and timely processing of reports to support payroll, SOX, SEC, proxy and other regulatory reporting requirements. Runs ad hoc equity related reports for miscellaneous internal departments such as HR, Accounting, FP&A, Legal, and Treasury as needed.
  • Manage all aspects of SOX compliance for the company’s equity programs.
  • Administer the company’s Employee Stock Purchase Plan (ESPP) with full scale offering period project management, inclusive of education, communication development, eligibility tracking, enrollment, contribution change and withdrawal monitoring, purchase processing/reporting, disqualifying disposition tracking/reporting and Section 6039 reporting.
  • Create and facilitate training and educational materials for participants and management; maintain equity related intranet pages
  • Maintain internal documentation of equity administration processes to ensure business continuity.
  • Manage Restricted Persons List / Blackouts in equity plan administration system in coordination with Finance and Legal.
  • Partner with the legal department to manage the company’s 10b5-1 program and proxy disclosure requirements.
  • Develop and recommend process improvements and automation tools to optimize equity plan operations and the Global Total Rewards function.
  • Support cross-functional project work with the Executive Compensation team and other duties as assigned.
