About The Position

This position will oversee the activities of & provide leadership for the Project Coordinators that provide sales support for sales team. OVERALL RESPONSIBILITIES Manage & distribute the workload of the entire project coordination team Manage the productivity of each individual member of the project coordination team Manage project coordination team proficiency and training Conduct Mid-Year and End-of-Year Reviews with all direct reports Manage a workload of orders and projects as part of the Project Coordination team Communicate with third-party vendors and customers for flawless execution of projects Continuously improve post-installation follow-up plans with project managers and sales for complex projects Develop and maintain comprehensive project documentation in accordance with project management team Assist in the continued improvement of & ensure group adherence to company project coordination processes Analyze and review projects after completion to identify improvement opportunities Share project results and best practices within the Team Westfield leadership group Provide back-up coverage on projects that are generated by the sales team by acting as the project coordinator if primary PC is on PTO/leave Successfully manage the relationship with the client and all stakeholders Successfully manage project coordination functions and processes including: Internal workload distribution tools Establishing credit/terms Accounts Receivable (A/R) follow-up, collection, and process improvement Month-End, Quarter-End, Year-End Close-Out Project close-out audits Serves as SME for internal software tools, and customer/vendor portals Perform risk management to minimize project risks Participate in internal continuous improvement projects as required

Requirements

  • Demonstrated success as a Project Coordinator
  • Dedicated people leader invested in managing individuals, both for performance and career growth
  • Skilled at conflict resolution and collaboration
  • Highly detail-oriented, ability to manage critical deadlines
  • Ability to multitask effectively, prioritize, and execute complex tasks
  • Experience at working both independently and in a team-oriented, collaborative environment is essential
  • Ability to work through project issues with customers/vendors in a timely manner
  • Technically competent and proficient with various software programs: Excel, Word, Outlook, Sage100, Smartsheet
  • Proficient in Salesforce CRM and workload management tools
  • Strong written and oral communication skills: in-person and virtual meetings, email, phone calls, internal and external stakeholders
  • Must be able to learn, understand, and apply new technologies
  • BA/BS or equivalent experience
