The Materials Coordinator is responsible for coordinating and expediting the flow of materials, parts, and assemblies according to production and shipping schedules. This position supports both internal and external customers by ensuring efficient and accurate handling of inbound and outbound materials, inventory integrity, order fulfillment, and warehouse organization. Shipping & Order Processing • Process all sales order shipments within 24 hours of receiving pick tickets or inbound receipts. • Verify accuracy of shipped material against packing slips. • Ensure all credit card orders are processed before shipment. • Ensure all outbound product is shipped to the correct customer address. • Coordinate and complete all international shipments, including commercial invoices, packing lists, and bills of lading. Inbound Material & Inventory Control • Process inbound material receipts within 24 hours of delivery. • Verify inbound material accuracy against packing documents. • Notify Purchasing of discrepancies, returns, or credit requests. • Routinely perform cycle counts and assist with annual physical inventory. • Research and resolve inventory discrepancies, reporting issues to management. Customer, Vendor, and Internal Support • Assist with Will Call orders and notify Inside Sales if items remain more than 5 days. • Inspect customer returns and determine credit eligibility. • Support after-hours emergency calls as required. • Coordinate courier pickups (FedEx, UPS, DHL, freight carriers, etc.). Warehouse Operations & Safety • Maintain clean, safe, and organized warehouse areas including stock, staging, docks, and workstations. • Operate and maintain warehouse equipment including postage machines, printers, Instapak machines, and forklifts (training provided). • Order and maintain shipping and office supply levels. • Identify and correct unsafe conditions, reporting concerns to management.
