About The Position

The Medical Clinic Staffing Coordinator is responsible for overseeing the day-to-day staffing needs of the medical clinic while supporting the recruitment, onboarding, and ongoing development of clinic staff. This role coordinates interview scheduling, manages job postings, and assists in hiring efforts to ensure the clinic maintains appropriate staffing levels to support patient care and operational needs. The Staffing Coordinator serves as the primary point of contact for shift coverage and scheduling coordination, helping ensure adequate staffing and timely communication with clinic personnel. In addition, the Medical Clinic Staffing Coordinator manages training and competency tracking for clinic staff, ensuring licenses, certifications, required skills, and annual requirements remain current and compliant with organizational and regulatory standards. This role also supports performance management by coordinating annual employee evaluations with the Clinic Director and preparing the necessary documentation and materials for review discussions. The Medical Clinic Staffing Coordinator is highly organized, detail-oriented, and able to manage multiple priorities while maintaining clear communication with leadership and staff. This position plays a critical role in supporting clinic operations, workforce readiness, and a culture of accountability and professional development. This position is deemed safety-sensitive and will adhere to all policies associated with this designation.   • Certified Nurse Assistant (CNA) in the State of Idaho
  • Current Basic Life Support (BLS) certification
  • Minimum of two (2) years of experience in staffing, scheduling, or HR coordination, preferably within a healthcare or clinical setting
  • Working knowledge of licensure and certification tracking, with a basic understanding of credentialing processes and compliance requirements
  • Regular and predictable attendance
  • Expected to lift and utilize a full range of movement to transfer patients. Will also bend to retrieve, lift, and carry supplies and equipment. Typically includes items of varying weights, up to and including heavy items or patients
  • Need to walk and assist with transporting/ambulating patients, as well as obtaining and distributing supplies and equipment. This includes pushing/pulling gurneys and portable equipment, including heavy items or patients
  • Often required to navigate crowded and busy rooms (full of equipment, power cords on the floor, etc.)
  • May be expected to stand in a stationary position for an extended time
  • Must be able to access and navigate throughout the department within the organization's facilities
  • Ongoing need for the employee to see and read information labels, assess patient needs, operate monitors, and identify/operate equipment and supplies
  • Manual dexterity of hands and fingers to manipulate complex and delicate equipment with precision and accuracy. This includes frequent computer use and typing for documenting patient care, accessing necessary information, and other tasks

Nice To Haves

  • Graduated from an accredited school of nursing, preferred
  • Current License as a Licensed Practical Nurse in the state of Idaho, preferred

Responsibilities

  • Build, maintain, and adjust staff schedules to align with patient volume and provider templates; coordinate coverage for call-outs, PTO, and employee leaves.
  • Coordinate FMLA, General Medical Leave, Short-Term Disability, and Long-Term Disability processes in collaboration with Human Resources.
  • Maintain and manage a float/PRN staffing pool, including an up-to-date contact list for last-minute staffing needs.
  • Schedule and coordinate new-hire orientation, EMR training, and role-specific onboarding, while tracking completion of all onboarding requirements.
  • Partner with Medical Assistant and Nursing leads to plan continuing education opportunities and skills labs; maintain and communicate the department training calendar.
  • Track and monitor annual competencies, certifications (BLS, ACLS, etc.), and required trainings, sending reminders and verifying completion.
  • Monitor clinical staff licensure and certification expiration dates, flagging renewals 60–90 days in advance and maintaining audit-ready documentation.
  • Maintain confidentiality by protecting sensitive, proprietary, or confidential information. Adhere to HIPAA privacy and security requirements
  • Protects patients and employees by adhering to infection-control policies and protocols
  • Must wear Personal Protective Equipment (PPE) as required to maintain Infection Control Standards as set by the facility
  • Performs other related duties as assigned
  • Post job openings, screen applicants, coordinate interviews with the hiring manager, and communicate timelines and feedback
  • Organize onboarding logistics (badges, EMR access, compliance packets, orientation schedule)
  • Assist with promoting teamwork and hospitality among the staff
