About The Position

The Medical Staff Services Coordinator organizes, plans, and supports activities of the medical staff, medical staff leadership and the Medical Staff Executive Committee in compliance with the medical staff bylaws, rules and regulations and policies, Woman's Hospital Foundation bylaws, hospital policies and regulatory standards and guidelines. Supervised by the Manager of Medical Staff Services and works closely with physicians, their office personnel and medical staff committees; interacts with the executive leadership team, department directors, hospital legal counsel, the public and occasionally interacts with the Board of Directors. Requirements: High school graduation or equivalent Three years of previous experience at the executive assistant level Work experience in a healthcare setting highly preferred NAMSS certification as a Medical Staff Coordinator preferred Thorough knowledge of medical terminology for recording and transcribing minutes and composing reports and correspondence Strong computer skills with knowledge of various programs and databases Responsibilities: Organizes and supports Medical Executive Committee (MEC), medical staff committees, ad-hoc groups, taskforces, special projects, and related meetings. Prepares documents, meeting packets, and minutes; submits materials for Board approval and follows up on committee actions and recommendations. Coordinates policy development and revisions, ensuring compliance with committee, MEC, and Board decisions; maintains up-to-date medical staff and GME policies. Drafts and publishes MEC action summaries in the physician newsletter for distribution to staff and leadership. Develops and conducts annual orientations for medical staff leadership, including creating orientation manuals. Plans and schedules annual meeting calendars with department chiefs and the Chief of Staff; prepares letters of appointment and related correspondence. Oversees updates to medical staff bylaws, rules, and regulations, ensuring compliance and communication of changes. Coordinates educational courses and conferences for medical staff leaders, including travel and accommodations. Plans and organizes the annual medical staff retreat, managing speakers, logistics, and CME credit arrangements. Supports special events and holiday activities, collaborating with Marketing on invitations and communications. Maintains accurate records for physician leadership compensation and committee stipends; ensures timely distribution and audit compliance. Manages contracts for physician leaders, ensuring execution and compliance with regulations. Maintains and archives correspondence and documents according to retention policies. Serves as Webmaster for secure medical staff committee websites, providing training and ongoing support. Perform other duties assigned by department leadership according to policies and procedures and the mission of Woman's Hospital. Requirements
