About The Position

This position is responsible for assisting in the orderly operation of the administrative office and Museum front desk and providing exceptional customer service. This position also assists the Museum Manager and Educator with Museum operational tasks including exhibit label editing, research, educational programming, program development, birthday parties and other tasks and projects as assigned.

Requirements

  • Minimum of a high school diploma with some college experience; associate or bachelors degree preferred; plus at least one (1) year of experience in general office duties or cash handling; plus, some experience working with the public and knowledge of local history.
  • Must be familiar with Microsoft Office Suite and the proper use of various office equipment.
  • Must have great organizational, interpersonal, and written and verbal communication skills.
  • Must have and maintain: valid drivers license with acceptable driving records; CPR/AED certified or obtained within one (1) year of employment.
  • Be a Mandated Reporter for the Abused and Neglected Child Reporting Act.
  • Must be able to: frequently remain in a stationary position for long periods of time as with using a computer with finger/hand repetition; and occasionally position ones self to move about the facility to access or move items weighing up to 10 lbs.
  • Rarely move objects/deliveries/etc. weighing more than 25lbs.
  • Assist in moving and setting tables, chairs and other furniture for rentals and events.
  • Must be able to: consistently work in an office environment with moderate noise and lighting, and may be exposed to dust, mold, and chemicals.

Responsibilities

  • Assist visitors who come to the administration office.
  • Greet Museum visitors and provide assistance to researchers.
  • Assist with program registration process, special event reservations and tour and program requests, including the accurate handling of fees.
  • Promptly answer phone calls and voicemails and either answer the question or direct calls to the appropriate District employee.
  • Cultivate and uphold the Museum mission and disseminate accurate historical information and education to all internal and external stakeholders making history fun for all.
  • Demonstrate an in-depth knowledge of the Museum building including facility rentals, programs, exhibits, events, and alarm system.
  • Conduct guided tours, school/scout programs, birthday parties, and presentations as assigned by supervisor.
  • Demonstrate acquired knowledge of all District facilities, parks, and programs.
  • Handle citizens concerns by recording and forwarding complaints on to the appropriate department and maintain records with responses when available.
  • Contact the proper maintenance personnel to repair the building or equipment when necessary.
  • Order, purchase, and receive office supplies as needed for the staff at the Museum building.
  • Keep a systematic file of records, reports, and correspondence as directed.
  • Assist, maintain, and address all other responsibilities and duties assigned by Museum Manager and Educator.
  • Assist Curator with exhibits, labels, and collection projects when assigned by immediate supervisor.
  • Accurately enter data into the financial software systems as assigned by immediate supervisor.
  • Maintain a working knowledge of the POS system and the daily duties of that system including a cash drawer, cash daily sheets, processing income and deposits.
  • Provide a high quality of customer service in a professional manner to the internal customer that will facilitate team building and exceptional customer service to the external customer.
  • Follow the Wheaton Park District and Museum policies, procedures, and guidelines.
