A reputable landscape and maintenance company in Utah is hiring an Office Admin & Operations Coordinator to be the high-energy "point person" who runs our front office and supports our field operations. Requirements

  • 3+ years in office management / coordinator / admin operations (construction or landscaping is a strong plus)
  • Comfortable owning details and follow-through in a fast-moving small business
  • Professional communicator who represents the company well in person and on the phone
  • Trustworthy and discreet with sensitive financial and employee information
  • Self-starter mindset--you notice gaps and fix them without waiting to be asked

Responsibilities

  • Own the financial flow: manage A/P + A/R, invoice customers, capture payments, reconcile job invoicing vs. payments received, and pay bills according to payment cycles
  • Answer and manage inbound calls with a professional, helpful, can-do attitude
  • Support Division Managers with project admin (permits, utility mark-outs, job costing, equipment logistics) to keep work on track
  • Serve as the team liaison for field employees: paperwork, hours, onboarding documents, and deadlines
  • Coordinate with 3rd-party partners to support HR, safety, and compliance needs
  • Support the Owner directly: manage scheduling, external emails, and stay ahead of task lists
  • Handle logistics and purchasing: order and schedule delivery for materials (mulch, gravel, plants, etc.) so crews have what they need on time
  • Maintain a professional, organized office including weekly meeting notes and light office tidying/organization
  • Be the welcoming face of a landscape and maintenance company in Utah for customers, vendors, and suppliers who visit
