About The Position

Play a part in the future of adolescent & young adult mental health care at our Support Office in Chandler! As our Office Coordinator and Client Records Administrator, you'll be the backbone of our support team, providing crucial administrative and office management support while helping to create joy and heal generations as a part of our team!

Requirements

  • Communication skills with a desire to connect with employees, visitors, and building staff
  • Phone etiquette skills and confident in speaking with cross-functional staff, leadership, and external stakeholders
  • Attention to detail, comfortable multi-tasking and prioritizing tasks independently
  • Protects sensitive information and complies with HIPAA privacy laws
  • Manages multiple responsibilities, deadlines, and priorities effectively
  • Proficient in Microsoft Office (Strong proficiency in Outlook, Excel, and Word)
  • High school diploma or general education degree (GED) required

Nice To Haves

  • Canva experience preferred.
  • Fresh Service experience preferred.

Responsibilities

  • Greet visitors and assist with office navigation while managing daily announcements on the common-area display.
  • Maintain all common areas, including the kitchen, ensuring cleanliness and organization at all times.
  • Operate office and kitchen equipment and provide general administrative or secretarial support to department leaders.
  • Handle record requests, including monitoring incoming requests, verifying legality with Compliance, communicating status, and tracking fulfillment progress.
  • Manage mail and deliveries by receiving, sorting, and distributing incoming items.
  • Oversee inventory and supplies, restocking snacks and beverages twice weekly.
  • Coordinate with building management on repairs, badge orders, and related needs, and participate in culture committee activities to support office events and wellness initiatives.
