About The Position

Main Street Advisors is a dedicated financial planning firm based in Edmond, OK. We are dedicated to helping clients achieve their financial goals through comprehensive planning. We are seeking a highly organized, personable Office Administrator to support office operations, client experience, and marketing initiatives. This role plays a key part in ensuring clients and prospects feel welcomed and well taken care of while helping the team stay organized and efficient. This is a team-oriented position where you will work with advisors and staff to support day-to-day operations. The role includes both busy and slower periods, so the right person is proactive, able to identify priorities, and stays productive by supporting the team, following up on outstanding items, and helping improve organization and processes.

Requirements

  • 1+ years’ of relevant experience strongly preferred
  • Demonstrates strong proficiency and confidence working across various platforms and operating systems; CRM (Wealthbox) and Microsoft Office Suite
  • Excellent communication; written and verbal
  • Self-starter who takes initiative and works well independently
  • Skilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidance
  • Collaborative team player willing to assist others
  • Demonstrates exceptional organizational skills by efficiently managing multiple client requests and prioritizing time sensitive tasks
  • Exhibits meticulous attention to detail and a commitment to accuracy
  • Demonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matters

Nice To Haves

  • Interest in exploring marketing ideas, and a willingness to research Google platforms and AI trends
  • Experience with the electronic application processing tools (Docusign & FireLight)
  • Experience with CRM systems

Responsibilities

  • Serve as a friendly, professional first point of contact for clients—both in-person and over the phone
  • Schedule and reschedule appointments as needed and monitor the schedule for cancellations or no-shows and help fill openings when possible
  • Deliver a seamless onboarding experience for new clients, ensuring personalized attention and exceptional service at every step
  • Support clients in successfully logging into and navigating the client portal, addressing questions and troubleshooting issues as needed
  • Monitor and track pending service work, ensuring clients receive personalized update calls regarding the progress of their requests
  • Maintain the firm’s CRM system (Wealthbox) through accurate data entry and database management
  • Conduct outreach to new leads when needed and collaborate with the Business Development Manager on initial contact, as well as follow up with clients and prospects to support ongoing relationship development
  • Assist with marketing initiatives by monitoring digital campaign performance and activity rates
  • Assist with planning, coordinating, and executing client events and seminars, supporting the team to ensure their success
  • Assist with guest communications, registrations, and RSVPs
  • Support event setup, breakdown, and on-site logistics tasks
  • Support marketing efforts by tracking basic activity and reporting what’s working
  • Take initiative during slower periods by organizing systems, following up on outstanding items, and preparing for upcoming client needs
  • Look for opportunities to improve processes, organization, and overall efficiency
  • Step in to support the team wherever help is needed
