General Summary: The Office Manager I is responsible for managing the effective day-to-day operations of the physician’s office for offices with 1 – 15 employees or less than 3 years of experience. The Office Manager I will work with the Providers, the Regional Operations Manager, the Nurse Manager, and the Charge Nurse/Clinical Leader to ensure that the office operates smoothly and efficiently between the front and the back of the office in a collaborative fashion. The Office Manager I will ensure that high visibility functions such as reception, check-in, check-out and referral meet Holston Medical Group’s Mission, Vision and Core values.

Requirements

  • Knowledge of managed care
  • Minimum High School diploma or equivalent required/ Bachelor’s degree in Health Administration preferred
  • 3-5 years minimum experience working in Healthcare/Physician’s office with increasing level of responsibility
  • Prior experience of filing insurance claims/understanding of reimbursement requirements
  • Must be computer literate
  • Good interpersonal skills
  • Ability to communicate effectively – orally and written

Responsibilities

  • Ensure that the office is opened properly and each staff member is operating in the proper capacity
  • Take calls from staff members who are late/absent on any given work day
  • Rotate staff in or out as needed based on: Level of staffing Level of Providers Level of patients
  • Perform internal audits of: Registration Patient check-out and payment HIPAA OSHA Site reviews (Quality Assurance) Insurance/Credentialing/Chart Audits Appeals Employee timekeeping
  • Build strong relationships and teams within the office to support HMG’s mission
  • Recognize areas/employees that need training and provide the necessary training or education
  • Utilize EMR to update patient information and perform check-in and check-out functions
  • Work with other areas in HMG to facilitate needs (IT, HR, Finance/Accounting, Insurance)
  • Maintain attendance approvals in Kronos timekeeper for staff
  • Provide cash control for the office managed
  • Perform management in other offices as needed to fill in for other Office Managers
  • Enforce HMG company policies (turn around times, system usage, dress code, attendance, HIPAA, electronic media, confidentiality agreement, etc.)
  • Implement ongoing HMG system changes, workflows, and process updates
  • Field calls for patient complaints that come into the office or phone
  • Organize staff meetings and develop staff education sessions
  • Conduct Employee selection process (review applications, interview, hire recommendation)
  • Employee performance evaluations
  • Recognize and provide positive reinforcement to employees who are high performers
  • Corrective actions as needed documenting issues fully
  • Terminations as needed in conjunction with Human Resources
  • Address individual provider needs (equipment, personnel, organization, schedule)
  • Be an “ear” for patient issues and accolades for the Providers and Regional Operations Managers
  • Maintain attendance by exception for Provider in Kronos timekeeper
