Join our team and play a key role in guiding clerical staff while helping maintain efficient and responsive service to the public and internal departments. What You’ll Do Plan, assign, direct, review, and coordinate the work of approximately five to twelve clerical employees performing technical and general office support duties. Supervise and guide staff while serving as an expert resource for complex clerical processes and procedures. Provide hands-on clerical support and ensure continuity of office operations by covering essential duties during staff absences. Serve as a liaison between clerical staff and administrative personnel, facilitating communication and ensuring efficient workflow. Monitor work quality, provide direction, and help maintain consistent adherence to department policies and procedures. Utilize Countywide and department-specific software systems to complete assignments, track work, and support operational needs. Requirements

  • Must be a high school graduate or have a certificate of successful completion of the General Educational Development (GED) Test.
  • Have had four (4) years of responsible, full‑time clerical experience, one (1) of which included lead duties over other clerical staff.
  • NOTE: Coursework at an accredited college or university may substitute for the clerical experience on a year-for-year basis up to a two year Associate’s Degree. (College coursework may NOT substitute for the year of supervisory or lead worker duties.)
  • Pass the complete examination, including the employment medical established for this class.
  • Successfully complete the six (6) month probationary period.

Responsibilities

  • Plan, assign, direct, and coordinates the work of assigned lower-level clerical employees providing technical and general clerical support for a division, section, or unit of a department.
  • Supervises and/or assists in the preparation and maintenance of departmental accounting, personnel, payroll, and related documents and records.
  • Assists in the preparation and compiling of financial, statistical, or numerical data for the preparation of special and annual reports.
  • Participates in general personnel activities for assigned clerical employees such as employee selection and evaluation, recommendation of promotions and merit increases, monitoring attendance, approving time off and recommending disciplinary action.
  • Performs liaison duties between lower-level clerical employees and administrative personnel ensuring that adequate clerical support is provided, and that divisional policies and procedures are adhered to.
  • Plans and develops a program for instructing, training, reviewing, and evaluating clerical employees engaged in performing clerical support activities required for the efficient operation of the department, division, or unit.
  • Supervises the receiving, reviewing, processing, filing, and maintenance of division documents, reports, records, and daily transactions.
  • Distributes and monitors the flow of work assignments performed by clerical employees to maintain an acceptable level of work performance.
  • Answers a variety of public inquiries regarding divisional procedures by giving out information requiring general interpretations and familiarity with divisional operations.
  • Resolves job related problems or conflicts in work assignments or work schedules involving clerical staff.
  • Attends and participates in various division clerical and administrative staff meetings.
  • Determines need for and/or orders necessary supplies, materials, or other items for the office.
  • May provide secretarial duties to administrative staff which includes dictation, transcription, typing, scheduling appointments and screening phone calls.
  • Utilizes current Countywide and/or department specific software to complete assignments.
