About The Position

Aspen Contracting is seeking a highly organized Office Support professional to join our National Headquarters team. This role supports several departments and requires strong multitasking ability, consistent communication, and the capacity to work efficiently in a fast‑paced environment. The ideal candidate is detail‑oriented, dependable, and comfortable managing a high volume of phone calls, emails, and documentation.

Requirements

  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational skills and the ability to multitask effectively.
  • Clear and professional communication skills.
  • Ability to read or learn to understand insurance‑related property claim documents (training provided).
  • Comfortable working independently while also collaborating with internal teams.

Responsibilities

  • Manage a high volume of phone calls and emails.
  • Maintain detailed notes and ensure all customer/job files are updated daily.
  • Communicate frequently with internal teams regarding job status and next steps.
  • Create and send invoices to customers and insurance companies.
  • Prepare and send mortgage packets for endorsements.
  • Perform follow‑up calls/emails to insurance companies, mortgage companies, and customers.
  • Support new location setup as needed.
  • Process internal forms and documentation.
  • Maintain accurate customer and job information in company systems.
