About The Position

The Operations Coordinator provides comprehensive operational and administrative support to the Department of Otolaryngology – Head and Neck Surgery within a complex academic medical center environment. This role supports clinical, academic, and research missions by coordinating contracts, tracking key deadlines, facilitating faculty incentive processes, and ensuring timely completion of departmental deliverables. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while supporting faculty across subspecialties including head and neck oncology, rhinology, laryngology, otology/neurotology, pediatric otolaryngology, and facial plastic surgery.

Requirements

  • Associates degree, or equivalent work experience.
  • 3 years related experience required.
  • Non-Bargaining Unit
  • ICW - Otolaryngology Administration - ISM, Icahn School of Medicine

Responsibilities

  • Develop and maintain tracking systems for faculty employment agreements, vendor contracts, research agreements, clinical service contracts, and other departmental commitments.
  • Track contract deadlines and proactively inform appropriate faculty, leadership, and administrative staff of required deliverables.
  • Prepare and submit faculty incentive documentation in alignment with departmental compensation plans and institutional policies.
  • Run productivity and scheduling reports on a weekly basis to monitor clinical performance and identify trends.
  • Assist with preparation of reports related to operating room utilization
  • Support invoice processing and vendor payment coordination.
  • Assist with provider template adjustments and scheduling optimization as needed.
  • Serve as a liaison between physicians and EPIC support teams to resolve access or workflow issues.
  • Update and manage the department’s internal website to ensure content is current and accurate.
  • Work with Central Marketing to coordinate updates and enhancements to the external departmental website.
  • Ensure faculty profiles, program information, and announcements are accurate and up to date.
  • Assist with drafting and posting departmental communications as needed.
  • Demonstrate strong computer skills, including proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with reporting systems and web content platforms.
  • Perform other duties as assigned to support departmental operations.
