About The Position

The Division of Drugs, Devices and Cosmetics (DDC) regulates under the provisions of the Florida Drug and Cosmetic Act (Chapter 499, F.S.) by licensing, registering, inspecting, and investigating the manufacture, distribution, and sale of drugs, medical gases, and cosmetics in the State of Florida. The individual interested in joining a dynamic team must be highly motivated with excellent technical skills to review, evaluate and process initial and renewal applications from persons seeking licensure under the Florida Drug and Cosmetic Act. The incumbent in this position is required to independently exercise professional judgment when providing licensure and regulatory information to licensees, applicants, and consumers. This position requires the ability to communicate effectively, verbally and in writing.

Requirements

  • Knowledge of Florida Statutes and Department rules governing licensure of professionals in Florida;
  • Knowledge of methods of data collection;
  • Ability to understand and apply applicable laws, rules, regulations, policies and procedures;
  • Ability to work independently;
  • Ability to plan, organize and coordinate work assignments;
  • Ability to utilize problem solving techniques;
  • Ability to communicate effectively, verbally and in writing;
  • Ability to maintain confidentiality;
  • Ability to establish and maintain effective working relationship with others.
  • One (1) year of customer service experience.
  • Working knowledge of MS Office Suite (i.e., Word, Excel, and Outlook).

Responsibilities

  • Serves as an administrative assistant to the Regulatory Supervisor over licensing, including assisting with Unassigned Cash Report, checking on status of applications, responding to emails, and researching application information.
  • Reviews, evaluates, and processes Chapter 499 applications.
  • Recommends approval or denial of applications from persons applying for Change of Address, Name Change, Change in Designated Qualifying Practitioner, Officer Change notifications, Voluntary Relinquishments, Closures, and License Verifications.
  • Ensures correct fee received, assigning cash, and identifying overpayments for refunds.
  • Maintains a tracking system of the activity for applications pending decisions.
  • Accurately entering all required data into the licensing and imaging system.
  • Communicates daily with the public, department officials, other state agencies and the private sector both verbally and in writing regarding permitting requirements and authorized activity under the Florida Drug and Cosmetic Act, including responding to the Tier-N emails and providing status of applications.
  • Mail renewal applications.
  • Follow up with applicants regarding returned/undeliverable mail.
  • Receive and distribute discipline notifications.
  • Accurately enters all required data into the licensing and imaging system.
  • Accurately scans, imports and indexes documents into OnBase.
  • Review and respond to emails received.
  • Provide status reports on applications received.
  • Performs other duties as assigned and backs up comparable positions in the Drugs, Devices, & Cosmetic Program, which includes serving as the backup to the receptionist by answering the Division main telephone.
