About The Position

The Bureau of Education and Testing is housed within the Division of Professions. The Bureau protects the health, safety, and welfare of the public by providing services to numerous boards, divisions, and professions regulated by the Department. The Examination Development and Administration Units are responsible for developing, preparing, scheduling, scoring, and managing examination administrations. The units also monitor national examinations and examinations contracted with private testing companies to ensure that all examinations meet appropriate measurement standards. The Continuing Education Unit monitors compliance with continuing education requirements, including pre-licensure and post-licensure education. Additionally, the Continuing Education Unit processes applications for education courses and providers and administers continuing education audits. This position is responsible for answering and routing incoming telephone calls, processing and distributing mail, and profiling provider and course applications for the Continuing Education Unit of the Bureau of Education and Testing.

Requirements

  • Must have a high school diploma and two (2) years of work experience.
  • One (1) year must be customer service experience.
  • Ability to compile, organize and analyze data.
  • Ability to provide assistance to others.
  • Ability to plan, organize and coordinate work activities.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.

Responsibilities

  • Collects, opens, and date stamps all incoming mail.
  • Independently reviews and analyzes incoming mail and compiles the documents together to form batches.
  • Routes misdelivered mail to the appropriate office or unit for processing.
  • Prepares documents to be scanned into the document management system.
  • Scans batches of incoming mail into the system.
  • Conducts quality control checks to ensure all documents were scanned properly and are legible.
  • Responds to all incoming telephone calls to the Bureau of Education and Testing.
  • Provides assistance to customers by responding to requests for general information and routes calls and voicemail messages to the appropriate staff members.
  • Records messages for staff members as needed.
  • Initiates profiling of correspondence, fax documents, course and provider applications in the licensing system database and document management system.
  • Assigns the file type of each document and indexes each scanned document.
  • Receives supplemental information for file updates and other miscellaneous duties.
  • Provides assistance to the Operations Analyst II's and Regulatory Specialist III's.
  • Provides administrative support to the supervisors.
  • Securely processes all incoming check payments for the Continuing Education Unit and transports checks to the Revenue Section daily.
  • Indexes and records pre-licensure education certificates into the department's document management system.
  • Perform other related duties such as, OnBase Document Imaging System.
  • Responds to telephone calls to assist callers.
