Requirements

  • High school diploma or equivalent.
  • Previous experience in a medical office or customer service role, preferably in an optometry or healthcare setting.
  • Basic proficiency with electronic health record (EHR) systems and appointment scheduling software.
  • Strong communication and interpersonal skills to interact effectively with patients and healthcare professionals.
  • Ability to handle confidential information with discretion and maintain patient privacy.

Nice To Haves

  • Certification as a Certified Ophthalmic Assistant (COA) or equivalent.
  • Experience with insurance billing and coding specific to optometry services.
  • Familiarity with optical terminology and common eye care procedures.
  • Proficiency in additional languages to support diverse patient populations.
  • Advanced computer skills including Microsoft Office Suite and practice management software.
  • MA certification and prior optometry experience are a plus, but not required.

Responsibilities

  • Greet and check in patients promptly and courteously, ensuring all necessary information is collected accurately.
  • Schedule and confirm patient appointments using electronic health record (EHR) systems, optimizing the daily patient flow.
  • Manage patient records, including updating personal information, insurance details, and medical history in compliance with privacy regulations.
  • Handle billing processes, verify insurance coverage, and assist patients with payment inquiries and processing.
  • Coordinate communication between patients and optometrists, including relaying messages and preparing patients for their examinations.
  • Maintain a clean and organized front office environment, ensuring all administrative supplies are stocked and equipment is functioning.
  • Assist with administrative tasks such as filing, faxing, and managing correspondence to support clinical staff.
