Job Summary: The Order Management Supervisor reports to the Vice President of Sales and is responsible for overseeing the daily activities of the Order Management team, ensuring accurate and timely entry of orders into the ERP system (Epicor). In this role, you will manage order processing workflows, maintain data accuracy within the ERP for all new orders and changes, and ensure team member/s follow established procedures and quality standards. You will work closely with planning, production, purchasing, sales, logistics, and project team members to coordinate order fulfillment and maintain accurate order-level dates on Sales Orders. As the team lead, you will serve as the escalation point for customer inquiries, schedule changes, and complex order issues, ensuring timely communication and resolution. You will also support continuous improvement efforts, monitor team performance, and help develop processes that improve efficiency and customer satisfaction. Requirements

  • Minimum 2 years’ experience in customer service, order fulfillment or similar roles
  • Previous experience managing customer service representative required
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Ability to multi-task and manage a daily task list efficiently
  • Proficient with Microsoft Office or related software
  • Critical thinking: using logic & knowledge to drive solutions and conclusions to problems
  • High school diploma or equivalent
  • Previous customer service, data entry experience
  • Prolonged periods of sitting at a desk and working on a computer
  • This is an in-office position, incumbent must be able to report into our SFS facilities, four days a week
  • Little to no travel expected for this role

Nice To Haves

  • Experience with Epicor, or similar ERP system, highly preferred

Responsibilities

  • Review incoming purchase orders for commercial, technical, and contractual alignment prior to processing
  • Create, modify, and maintain sales orders in ERP (Epicor), including standard, project, service, RMA, and change orders
  • Identify and resolve discrepancies related to pricing, scope, payment terms, Incoterms, lead times, documentation, and testing requirements
  • Serve as the primary operational contact for customers regarding order status, changes, cancellations, and delivery commitments
  • Issue Sales Order Acknowledgements (SOAs) and Proforma Invoices when applicable
  • Track and manage unacknowledged, on‑hold, and high‑risk orders until closure
  • Assess operational and financial impact of changes and obtain internal approvals before execution
  • Act as the primary interface between Sales, Engineering, Operations, Supply Chain, Quality, and Finance
  • Escalate technical or supply constraints and drive resolution through Jira tickets and internal review forums
  • Ensure documentation, drawings, inspection/testing requirements, and compliance items are aligned before release
  • Support process improvement initiatives related to order flow, risk review, and release governance
  • Lead weekly Sales Order Review (SO Review) meetings to address project risk, open issues, and release readiness
  • Train and mentor Order Entry Rep
  • Set workload priorities and ensure coverage across regions
