About The Position

Big Bend Hospice (BBH) is your “Hometown Hospice” providing compassionate end-of-life care for over 40 years to the Big Bend region. Guided by our values of integrity, respect, and excellence, we are seeking an experienced Payroll Administrator to join our team. The ideal candidate for the Payroll Administrator position is experienced in timely and accurate processing of bi-weekly payroll, including auditing timesheet and time off approvals, benefit deductions accuracy, manual checks, and special check runs. Audits payroll for accuracy, prepares reports for quarter/year-end, and processes personnel-related invoices. Ensures compliance with ERISA for retirement plans, tracks employee participation, conducts enrollment, and handles contributions/disbursements.

Requirements

  • Associate degree (A.A.) or equivalent from a two-year college or technical school; or two or more years of related accounting and/or human resources experience and/or training; or equivalent combination of education and experience.

  • Thorough knowledge of payroll processing, benefit administration, ERISA, and payroll/employment-related laws and regulations.
  • Proficient with Microsoft Office Suite or related software.
  • Proficiency with or the ability to quickly learn the organization’s HRIS and related payroll systems.
  • Current Florida Driver’s License
  • Valid auto insurance and reliable transportation

Responsibilities

  • Processes all aspects of bi-weekly payroll, including reviewing timesheet approvals, applying benefit deductions for new hires/terminations, and ensuring staff are paid correctly each pay period with minimal to no errors.
  • Prepares manual payroll checks and special check runs as needed; researches payroll problems and recommends solutions; completes reports after the last payroll prior to quarter and year-end.
  • Assures compliance with federal, state, and local labor laws, tax regulations and company policies.
  • Processes all personnel-related invoices for payment (e.g., insurance, benefits, vendors, special requests, or those required by law).
  • Conducts monthly benefit reconciliation, ensuring that invoices are accurate and agrees with deductions withheld and enrollments, terminations and changes are accurately reflected on invoice and in HRIS.
  • Submits invoice to AP once it is ready for payment.
  • Runs bi-weekly 403B contribution report to ensure contribution calculations are accurate, and that employee elected contribution changes and or loan payments/status are up to date.
  • Continually audits payroll to ensure accuracy; uses system reports to verify payments and support general audits.
  • Prepares quarterly and year-end tax forms.
  • Assures compliance with ERISA provisions for organizational retirement plans; stays current on tax law changes; tracks employee participation, participates in enrollment meetings, provides required notices, and processes contributions/disbursements timely and thoroughly.
  • Responds promptly to inquiries for payroll data such as workers compensation, garnishments, etc.
  • Maintains accurate records of all responses.
  • Consistently represents Big Bend Hospice to all internal and external customers with integrity and professionalism, it exemplifies excellent customer service.
  • In the event of a declared disaster, assists with securing the work environment and teams as requested; reports to work upon “all clear” and assumes responsibilities to assist with recovery efforts.
