About The Position

The Payroll Supervisor oversees day-to-day payroll operations for UGE’s management and frontline operational employee populations across multiple pay cycles, including weekly, biweekly, and semi-monthly (twice monthly) payrolls. This role ensures payroll is processed accurately, on time, and in compliance with applicable wage-and-hour requirements, tax regulations, and company policies. The Payroll Lead serves as a key point of escalation for complex payroll issues, drives process consistency across locations.

Requirements

  • 5+ years of progressive payroll experience, including high-volume operational payroll.
  • Demonstrated experience processing multiple pay frequencies (weekly/biweekly/semi-monthly) and handling complex payroll scenarios.
  • Strong knowledge of payroll compliance concepts (overtime, pay practices, payroll taxes, garnishments).
  • Proficiency in Excel (pivot tables, lookups, data validation) and comfort working with large datasets and reports.
  • Proven ability to manage deadlines, prioritize competing work, and communicate clearly with employees and managers.
  • High integrity and discretion when handling confidential employee/pay data.

Nice To Haves

  • New system implementation experience (implementation, testing, parallel runs, or production support).
  • Experience with timekeeping systems and integrations (time capture → payroll).
  • Multi-state payroll exposure and experience supporting distributed operations.
  • Experience in aviation services, logistics, or other 24/7 operational environments.
  • Must be available to support payroll processing deadlines; periodic extended hours during payroll runs, quarter/year-end.

Responsibilities

  • Lead end-to-end payroll processing across weekly, biweekly, and semi-monthly cycles for both management and frontline operational employees.
  • Ensure accurate calculation and processing of hours, overtime, shift differentials, premiums, PTO, retro pay, bonuses, and other earnings/deductions as applicable.
  • Validate timekeeping inputs and approvals; partner with Operations leaders to resolve time entry exceptions and deadline adherence.
  • Monitor payroll controls (audit checks, variance review, approvals, and cut-off discipline) and ensure timely corrections.
  • Ensure compliance with federal/state/local wage and hour rules, pay frequency requirements, and payroll tax obligations.
  • Support garnishments, levies, child support, and other mandated deductions; ensure accurate setup and timely remittance.
  • Maintain strong internal controls and documentation (segregation of duties, reasonableness checks, approvals, and audit trails).
  • Support internal and external audits by providing payroll records, support schedules, and process documentation.
  • Serve as escalation point for payroll inquiries and complex cases (off-cycle checks, terminations, LOA impacts, pay adjustments, negative balances).
  • Provide professional customer service to employees and managers; resolve issues with a high sense of urgency and confidentiality.
  • Coordinate with HR on new hires, terminations, pay changes, and benefit/leave impacts to payroll.
  • Prepare and distribute payroll-related reports (register review, labor summaries, exception logs, overtime reporting, cost center/location reporting).
  • Partner with Finance/Accounting to support payroll reconciliations, payroll-to-GL mapping, and period-end close requirements.
  • Analyze payroll variances and trends; identify root causes and recommend corrective actions to improve accuracy and efficiency.
  • Identify and implement process improvements (automation, standard work, improved controls, cycle-time reductions).
