Requirements

  • High School
  • 1-3 years experience

Responsibilities

  • Answers telephone promptly; preferably by the third ring. Ensures calls are identified and properly categorized in order to forward to appropriate area within office timely and efficiently.
  • Reviews voicemail messages throughout the day and responds to patients by next business day, the latest.
  • Demonstrates proper telephone etiquette when receiving, transferring, and placing calls on hold. Hold times are to be kept to a minimum. Repeats key information when writing down messages to ensure accuracy.
  • Accurately enters patient demographics information and insurance data in the computer as needed.
  • Verifies insurance information, collect referrals and authorizations, and/or other forms as needed.
  • Efficiently schedules appointments and reviews physician's clinic schedule ensuring all information is correct. Verify insurance and coverage as required. Reschedule patients when needed.
  • Ensures that authorizations are obtained in advance of scheduling surgery/procedures. Follow up with patients to ensure that medical clearance for surgery/procedures are obtained in a timely manner.
  • Consistently demonstrates a clear understanding of departmental needs and job functions as assigned by department Director and/or immediate Office Manager or Office Coordinator Assistant.
  • Demonstrates flexibility as well as ability to perform multiple functions within the practice to increase departmental efficiency. Responds to requests of assigned physician in a timely manner.
  • Notify supervisor and/or physician of any problems pertaining to processing the patients for upcoming surgery/procedures.
  • Demonstrates the knowledge necessary to communicate with other offices in an effort to accurately and efficiently schedule surgeries/procedures.
  • Ensures that patient requests such as FMLA forms, disability forms, handicap forms, among others are completed in a timely manner.
  • Assists and/or provides coverage to other Physician Coordinators as needed.
