The temporary Program Administrator assists the Enrollment Manager with all travel related matters including booking travel for enrolling students, communicating with, students and families before and after booking travel, maintaining complete and organized records, and supporting travelers remotely on travel days. The successful Programs Administrator for travel will: Effectively manage daily workflows to ensure travel is booked by target deadlines. Communicate clearly with participants and parents Maintain clear and organized documentation of processes Maintain accurate and up-to-date records Work collaboratively to support the success of recruiting, admissions, enrollment, summer operations, and new alumni virtually and in person.

Requirements

  • 4-year degree in any field.
  • 1-2 years of experience in program, project, or office administration.
  • Ability to communicate by phone, video, and in writing with students and families in a kind and firm manner, providing clear and consistent instructions and information.
  • Attention to detail and demonstrated experience managing database records and document files
  • Self-motivated with a demonstrated ability to work independently in a fully remote environment, effectively managing time, prioritizing tasks, and meeting deadlines while staying responsive and communicative.
  • Demonstrates commitment to SSPI’s Mission and Values in their daily work and interactions.
  • Authorization to work in the United States
  • Background clearance

Responsibilities

  • Communicate with applicants and parents to collect traveler information and answer travel related questions in alignment with established protocols and policies.
  • Create and maintain organized and up-to-date records for participant travel, including receipts, itinerary changes, personal information, and other relevant data.
  • Research and book flights, balance cost effectiveness, and program needs.
  • Maintain organized receipts from travel bookings and submit financial reports daily.
  • Provide direct online support and troubleshooting for participant travel on arrival days (4 Mondays in June) and departure days (4 Saturdays in July/Aug).
  • Assist with other non-travel application and enrollment processes as needed, working to complete tasks as assigned.
  • Support the program team as needed.
  • Performs other duties as assigned.
