About The Position

The Philadelphia School (TPS) is seeking a full-time, twelve-month Program Administrator. We are a Preschool - Grade 8 progressive, independent school located in Philadelphia, Pennsylvania with an enrollment of approximately 425 students. Since our founding in 1972, The Philadelphia School has grown in size, complexity, and diversity. This growth has been rooted firmly in the progressive values with which our founders began: immersive learning, responsive pedagogy, and meaningful engagement with the world. The Program Administrator is a key partner to the Program Team and an integral part of the daily life of TPS. This position serves an important operational and strategic role in our programmatic initiatives and student support services, ensuring they run with care, consistency, and quality in close partnership with the Division Directors and Director of Learning Resources. The ideal candidate is an experienced independent school educator who brings organizational rigor, flexibility, proactivity, and creative thinking in equal measure. We are seeking someone who can build and manage systems, coordinate across teams, and contribute meaningfully to the TPS program. This person will interface with faculty, staff, and students and will have opportunities to take on projects, lead initiatives, and grow their leadership skills. The responsibilities listed below represent a baseline, but the right candidate will bring a critical, innovative lens to the work and create opportunities for growth and transformation.

Requirements

  • Bachelor’s degree in education or a related field required; master’s degree in education or a related field preferred
  • At least five years of experience in education required; specific experience in an independent school strongly preferred
  • Ability to be flexible, handling and balancing multiple competing demands simultaneously
  • Demonstrate meticulous communication, organization, and collaboration skills, ensuring clarity and consistency across all stakeholders
  • Comfort with ambiguity required; enthusiastic about turning idea into practice, using influence skills and peer leadership to mold academic initiatives and propel organizational growth
  • Ability to maintain composure and emotional control under stressful situations
  • Demonstrated ability to maintain confidentiality, exercise discretion, and handle sensitive issues with professionalism
  • Willingness to occasionally work outside of the workday or workweek for special programs, events, and meetings
  • Demonstrated commitment to Diversity, Equity, Inclusion, and Belonging as integral to the curriculum and community experience

Responsibilities

  • Collaborate on strategic focus areas that vary annually and support the growth and development of the academic program
  • Partner with the Program Team and faculty to ensure a smooth implementation of the feedback and evaluation process, nurturing educator growth across the school and overall fidelity to the model
  • Support a cohesive year-long plan for faculty meetings, in-service meetings, division meetings, and new faculty cohort meetings including preparing agendas, materials, and follow-up documentation
  • Facilitate the continued evolution of a school-wide schedule that best supports the needs of students and teachers
  • Coordinate School District and city-funded programs/services including Catapult (speech and language, OT, Wilson), Elwyn (ages 3-5), and Title I and II programming
  • Support the organization and implementation of standardized testing and assessments over the course of each school year, including compiling data for internal review and reflection
  • Oversee logistics for school-supplemented tutoring and summer academic programming, including schedules, staffing, and communication
  • Engage directly in student life by coordinating Encuentro and Family Circle planning, teaching a middle school intensive, serving as administrative chaperone on overnight trips, and contributing to school-wide and grade-specific events, projects, and initiatives
