About The Position

We are seeking a Program Coordinator I who will bring energy, organization, and a commitment to excellence to the Mays Business School Experience Team. This role is highly client‑facing and ideal for someone who is confident, personable, and quick to adapt in a fast-moving environment. The Program Coordinator is responsible for the planning, development, and implementation of assigned programs while serving as the primary leader for the Mays Ambassadors. The ideal candidate will manage tour schedules, develop and deliver training, and ensure that every tour consistently reflects the mission, values, and brand of Mays Business School. Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Two years of related experience.

Nice To Haves

  • Experience in event planning, campus tours/visitor services, or program coordination — preferably within higher education.
  • Ability to multitask and work cooperatively with others.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Verbal and written communication skills.

Responsibilities

  • Program/Event Planning and Implementation Coordinates large events and conferences, including scheduling, receiving/processing space requests, contract negotiation, and service requirements and deliveries.
  • Creates, establishes, and maintains program files, databases, correspondence, and program materials.
  • Purchases material for events and programs.
  • Coordinates and maintains the Experience Team program calendar.
  • Tracks and monitors event budgets.
  • Develops tailored experiences to increase engagement and enhancement of the Mays brand.
  • Coordinates program communications and marketing.
  • Serves as an on-site customer liaison during events.
  • Assists in preparation and monitoring of budgets for programs and events.
  • Maintains event records and databases.
  • Participate in the supervision of assigned staff.
  • Tour Coordination and Support Coordinate and manage all daily tours, group tours, VIP visits, and special request tours for Mays Business School.
  • Serve as the primary point of contact for visitors and campus partners regarding tour logistics.
  • Develop and maintain tour scripts, talking points, and presentation materials aligned with Mays messaging.
  • Monitor visitor feedback and implement improvements to enhance the tour experience.
  • Staff and Training Management Supervises the Mays Ambassadors.
  • May develop and update training materials and deliver training sessions.
  • Program/Event Follow-Up Coordinates post-event reviews and follow-up contact.
  • Makes recommendations for future improvements for events and the program.
  • Research and recommend changes for current events in coordination with the Director and Program Manager.
