About The Position

The Program Coordinator designs and supports matriculation programs, plans and executes events like the L.E.A.D. Summit. The Program Coordinator will supervise peer recruiters, manage their hiring, training, and communication efforts. This role includes maintaining knowledge of admissions and university policies to effectively engage with prospective students and parents. It also supports administrative strategies and manage expenses for recruitment events. Lastly, this position will compile program statistics and participate in training and conferences to enhance recruitment operations.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Four years of event management, management, program planning, higher education experience with student life, or relevant experience working with prospective students in recruitment efforts for undergraduate students.
  • Ability to work as a team member in a dynamic organization, possessing a positive attitude and is customer service oriented.
  • Ability to perform accurately in a detail-oriented environment with good interpersonal communication skills.
  • Ability to organize and make decisions.
  • Ability to work well under pressure in a team environment.
  • Must be self-motivated with the ability to coordinate and attend meetings and conferences at times beyond usual working hours.
  • Ability to multi-task and work cooperatively with others.

Nice To Haves

  • A State of Texas class “C” vehicle operator’s license or ability to obtain within 30 days of employment.
  • Master’s degree in Higher Education, Social Work, Business, or related field.
  • More than five years of experience
  • Previous experience and familiarity with Texas A&M and experience supervising student workers.
  • Ability to speak Spanish and English.
  • Knowledge and understanding of FERPA and SLATE.
  • Ability to comply with Texas A&M, System, State and Federal laws, regulations, rules, and policies.

Responsibilities

  • Planning and Coordination: Proposes, organizes, and executes a broad array of dynamic events, both on-campus and off-campus, which include managing publications, accommodations, itineraries, meals, and speaker selections for activities such as L.E.A.D. Summit and admitted student banquets across the state of Texas. Coordinates logistical aspects of these programs, manages hotel reservations, and handles vendor invoices. Manages program expenses and provides budget updates, ensuring expenses stay within projections and addressing any discrepancies. Cultivates and maintains strong relationships with all stakeholders including clients, university staff, and outside vendors to ensure collaborative program success. Maintains accurate records and adheres to risk management requirements. Manages multiple projects effectively to directly contribute to the enriched experiences and successful matriculation of prospective students into the university community.
  • Supervision: Supervises peer recruiters, oversees their hiring, training, and ongoing team management. Manages the scheduling of peer recruiter pre and post program support, call campaigns, speaking engagements during on-campus experiences with matriculation students. Creates opportunities to showcase the peer recruiters, highlighting their unique stories, experiences, and reasons for choosing Texas A&M in various contexts.
  • Recruitment: Maintains a comprehensive understanding of admissions, university information, opportunities, and policies to effectively disseminate this knowledge. Participates in special programs and appointments, representing Undergraduate Recruitment on and off campus as a public speaker to engage interested groups. Collaborates with the recruitment operations team in external and internal communication platforms to engage with students and parents proactively, anticipating their questions and creating informative, professional, and accessible content that fosters impactful experiences. Sustains expertise in university processes such as housing, financial aid, parking, student activities, and initiatives aimed at student success, ensuring you are well-equipped to guide prospective students through their admission journey.
  • Administration: Exercises discretion and independent judgment on crucial matters, providing robust support for the Recruitment Operations team. Develops administrative strategies and planning and executing operational activities that enhance recruitment efforts. Coordinates expense management for matriculation events. Maintains and communicate changes to internal policies and procedures, ensuring all team members are well-trained and informed to uphold the integrity of our recruitment operations. Compiles program statistics. Attends training and/or present at conferences. Serves on office campus committees as assigned. Performs other duties as assigned and assist the Undergraduate Recruitment leadership on projects that arise.
