Program Coordinator (Solara House) In-Person Full-Time (40 hours per week) Position in Oakland, CA (Exempt) Reports To: Family Manager (Solara House) Who We Are Ruby's Place dba Restorative Pathways (RP) is an innovative nonprofit committed to ending domestic violence, human trafficking, and violent crime through hope, advocacy and connection. Our services include emergency shelter, transitional housing, rental subsidies, mental health services, substance recovery, and wrap-around services. All our services are trauma-sensitive and client-centered and are provided at no cost to our clients. RP is led by survivors with a focus on reflection, innovation, and connection. What You Will Do The Program Coordinator at Solara House plays a key leadership role in supporting the daily operations of a high-capacity residential program serving adults. This position provides direct supervision to the Residential Advocate team, ensuring staff are fully trained, supported, and equipped to deliver high-quality, trauma-informed services. The Program Coordinator is responsible for ensuring adequate coverage at all times, responding to emergencies, reinforcing program guidelines, and maintaining a safe, structured, and welcoming environment for participants. This role collaborates closely with the Facility Manager and other program leadership to promote consistent communication, high service standards, and smooth operational flow throughout Solara House.

Requirements

In possession of a degree in social work or a related field, with at least two years’ experience supporting disenfranchised populations—such as survivors of domestic violence, human trafficking, immigrants, or individuals who have caused harm—in a residential setting. Relevant experience may be considered in lieu of formal education.
Someone with a minimum of three years of experience working in social services or similar field.
Experienced in crisis intervention, individual and group counseling, case management and client advocacy.
Understand trauma and apply trauma-sensitive, empathetic approaches that support the belief in individuals' capacity for change.
Flexible, proactive, and adaptable; eager to learn and embrace the RP model and core values.
Strong time management and collaboration skills; able to prioritize tasks and meet deadlines in dynamic environments.
Upholds confidentiality and legal compliance while applying critical thinking, problem-solving, and positive task delegation.
Skilled in managing multiple responsibilities while supervising staff who support clients in completing scheduled chores and daily activities.
Certified in The State-mandated Domestic Violence and Human Trafficking Counselor certification. (This can be scheduled after hire.)
Understanding of the dynamics of trauma-informed care, as well as an understanding of, and sensitivity to, serving diverse populations and languages as it relates to family dynamics and other aspects of cultural practice
Able to lift 25 lbs.
In possession of a valid CA driver's license, proof of insurance, and be approved by RP insurance as a driver in order to drive agency vehicles.
If a staff member cannot be approved by RP insurance as a driver, employment might not be able to continue. Instances where staff cannot be approved to drive will be reviewed on a case by case basis to determine if employment can continue in their role without driving agency vehicles. Items considered include but are not limited to: the shift the staff member holds and the frequency/necessity of driving during that shift, the amount of time before the staff member may be approved to drive by the insurance carrier, the availability of other staff on site to drive agency vehicles as program needs require, etc.
Able to complete all required background checks.
Additional requirements may be deemed necessary, including fingerprinting (Live Scan), completion of all Community Care Licensing (CCL) documents, and ability to meet CCL licensing requirements.

Responsibilities

Staff Supervision and Support Provide direct supervision, coaching, and day-to-day guidance to Residential Advocates.
Support ongoing staff development, morale, and communication within the direct care team.
Conduct regular team check-ins, support performance reviews, and assist with corrective action when needed.
Training and Onboarding Ensure all new Residential Advocates receive a comprehensive, trauma-informed onboarding experience.
Maintain training logs, track certifications, and ensure staff complete required trainings within expected timelines.
Reinforce expectations, best practices, and quality standards consistently across all shifts.
Scheduling and Coverage Ensure staffing coverage for all shifts, including coordinating replacement staff when absences occur.
Work closely with the Facility Manager on scheduling structures and workforce planning.
Monitor shift handoffs and documentation to support continuity of care.
Program Monitoring and Quality Assurance Actively monitor the facility, resident needs, and daily operations to ensure a safe and high-functioning environment.
Enforce program guidelines in a trauma-centered, supportive manner.
Review logs, rounds, incident reports, and communication tools to maintain accountability and program consistency.
Emergency Response and Crisis Support Respond promptly to crises, safety concerns, or emergency situations, following agency protocols.
Provide support and guidance to staff during complex resident interactions or escalations.
Serve as a point of contact for urgent matters when the Facility Manager is unavailable.
Collaboration and Communication Work in close partnership with the Facility Manager to maintain smooth daily operations.
Communicate important updates, staffing needs, resident concerns, or operational barriers in a timely manner.
Collaborate with internal departments such as training, operations, and HR as needed.
Assist with data entry, filing and additional clerical duties.
Complete functional timesheets by assigned due dates in compliance with time allocations.
Actively participate in reflective supervision sessions.
Create and maintain documentation of processes and procedures related to job duties.
Other duties as assigned.
