Role Overview: We’re looking for an Administrative Assistant to support our Permits and Compliance Department. The assistant must thrive in a fast-paced environment, managing multiple priorities, shifting deadlines and high-volume workflows with accuracy and professionalism. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details.

Requirements

  • Minimum of 2 years in an office or corporate environment
  • In-depth understanding of entire MS Office Suite
  • Ability to organize daily workload by priorities
  • Meets deadlines in a fast-paced quickly changing environment
  • Ability to adapt to process changes on a weekly basis
  • A proactive approach to problem-solving with strong decision-making skills
  • Professional level verbal and written communications skills

Nice To Haves

  • Previous admin experience preferred

Responsibilities

  • Coordinate complex scheduling and calendar management
  • Prepare meeting agendas, notes, and follow-up actions
  • Prioritize department needs and multitask effectively
  • Maintain SOPs, process guides, and workflow documentation for internal and external parties
  • Support task management by tracking action items, follow-ups, and deadlines across department
  • Coordinate internal and external communications to ensure deliverables are met
  • Provide administrative support, such note taking, spreadsheet creation, etc.
  • Maintain professionalism and strict confidentiality
  • Assist with planning activities and travel arrangements
  • Maintain systems, dashboards, and trackers
  • Support onboarding for new hires (access requests, documentation, training schedules)
  • Draft and distribute internal communications and announcements
  • Liaison between department and company as well as department and client
  • Maintain internal and external email communication, inbox organization, and account management
