About The Position

The Marketing Project Coordinator plays a central role in planning, coordinating, and executing marketing initiatives across products, events, and internal stakeholders. This position focuses on project management, cross-functional coordination, and operational execution rather than day-to-day content publishing or social media management. This role serves as the organizational hub for marketing projects—ensuring timelines, deliverables, vendors, and internal teams stay aligned from kickoff through completion. The ideal candidate is highly detail-oriented, comfortable managing multiple workstreams, and thrives in turning strategy into well-executed outcomes. This role is not eligible for remote work.

Requirements

  • Ability to translate marketing strategy into actionable project plans.
  • Hands-on creative production is not required, but familiarity with marketing assets and processes is important.
  • Bachelor’s degree in Marketing, Communications, Business, Project Management, or a related field is required.
  • 2–4 years of experience in marketing coordination, project coordination, marketing operations, or a similar role is preferred.

Responsibilities

  • Plan, coordinate, and manage marketing projects from concept through completion, including product materials, brochures, campaigns, and internal initiatives.
  • Develop and maintain project timelines, task lists, and deliverables to ensure projects stay on schedule and within scope.
  • Serve as the primary point of coordination between internal stakeholders, leadership, and external partners.
  • Track project progress, flag risks or delays, and proactively recommend solutions.
  • Coordinate the development of marketing materials such as brochures, sell sheets, presentations, and product launch assets.
  • Manage intake of product information and requirements from internal teams.
  • Oversee early-stage content development and ensure materials are ready for handoff to external partners or vendors as needed.
  • Ensure all materials align with brand standards and messaging guidelines.
  • Lead planning and coordination for marketing-led events, including the annual distributor sales conference, trade shows, and internal events.
  • Manage event timelines, budgets, vendor relationships, logistics, and on-site coordination.
  • Partner with sales, leadership, and external vendors to ensure events meet business objectives and deliver a strong attendee experience.
  • Conduct post-event wrap-ups, documentation, and lessons-learned reviews.
  • Act as the primary liaison with external agencies and vendors, including social media partners, designers, printers, and event vendors.
  • Coordinate deliverables, timelines, and approvals to ensure external work integrates seamlessly with internal plans.
  • Maintain clear documentation and communication to keep all partners aligned.
  • Maintain organized documentation for marketing projects, processes, timelines, and outcomes.
  • Support KPI tracking related to campaigns, events, and marketing initiatives.
  • Prepare status updates and summaries for leadership and internal teams.
