We are seeking a highly organized, process-driven, Self-Motivated, Project Coordinator to serve as the administrative, operational, and coordination backbone of our PMO and business operations. This role supports cross-functional teams including Engineering, Product, Business, and Risk/Compliance, ensuring projects and operational initiatives are well-documented, well-tracked, and compliant within highly technical and regulated environments. The ideal candidate has hands-on experience coordinating or managing projects in technology organizations, understands how delivery intersects with business operations and regulatory requirements, and can flex availability during critical milestones, including occasional late hours or weekends.

Requirements

  • Minimum 4–5 years of experience in a technology company in a Project Coordinator, Project Manager, or similar project delivery role
  • Experience operating within technical and regulated environments
  • Technical background or demonstrated ability to understand technical workflows, terminology, and dependencies
  • Comfort working within regulatory frameworks, controls, and audit expectations
  • Advanced proficiency:
  • SharePoint
  • Excel (pivot tables, formulas, lookups)
  • PowerPoint
  • Proficient with:
  • Microsoft & Google Suites
  • JIRA, Confluence
  • PPM tools
  • Comfortable working on both Mac and PC platforms
  • Willing to work odd hours, late evenings, or weekends during high-pressure delivery cycles

Nice To Haves

  • Experience in financial services, payments processing, fintech, or similarly regulated industries is strongly preferred
  • CAPM (Certified Associate in Project Management) or equivalent PMI certification preferred

Responsibilities

  • PMO Tools & Systems Ownership
  • Own the setup, configuration, and ongoing maintenance of SharePoint sites, PPM tools, and JIRA/Confluence spaces
  • Maintain standardized structures, permissions, and documentation practices aligned with technical and regulatory standards
  • Documentation, Reporting & Business Operations
  • Design and maintain PMO and business operations reporting templates that support governance, audits, and delivery oversight
  • Manage complex Excel and Smartsheet trackers for projects, operational metrics, risks, and compliance actions
  • Prepare clear, executive-ready PowerPoint presentations for leadership, steering committees, and regulatory-facing reviews
  • Support periodic operational reporting, KPI tracking, and process documentation in regulated contexts
  • Communication & Engagement
  • Capture, refine, and distribute technical and compliance-sensitive meeting minutes and action items
  • Publish periodic PMO or operations newsletters and updates
  • Facilitate team engagement initiatives (e.g., technical or regulatory knowledge-sharing activities)
  • Methodology & Process Support
  • Provide administrative and coordination support for initiatives using Agile, Scrum, Kanban, and Waterfall methodologies
  • Support process improvement initiatives while ensuring alignment with regulatory and control requirements
  • Project & Operational Coordination
  • Manage small projects alongside ongoing PMO and business operations responsibilities
  • Support operational initiatives related to process optimization, tooling improvements, and workflow standardization in regulated environments
  • Cross-Functional & Regulatory Liaison
  • Act as a liaison between Engineering, Product, Business, and Risk/Compliance teams
  • Ensure project and operational documentation meets delivery, governance, audit, and regulatory requirements
  • Support audits, examinations, and compliance reviews through accurate documentation and evidence collection
