About The Position

WSP USA is seeking a Project Coordinator for their Tempe, AZ office. The Project Coordinator is responsible for supporting the Project Leader and project teams with administrative duties throughout the project lifecycle. They will take a proactive role assisting the Project Leader and project teams in moving the project forward and enhancing communication with the project team and Client and promoting and facilitating integration on the project.

Requirements

  • High School Diploma or GED Required
  • 3+ years' experience
  • Must be a self-starter capable of taking on tasks with modest direction or supervision
  • Must possess a high level of professionalism and positive attitude when interacting with colleagues, clients, guests and other employees in the office
  • MS Office applications, including Word, Excel, Outlook, Power Point and others
  • Working knowledge of cloud-based file sharing platforms such as SharePoint, ShareFile, Newforma, Dropbox, Box, etc. is an advantage
  • Work closely with the project engineer, supervisors, and construction contractor staff on correspondence tracking
  • Project documentation tracking logs, filing and organization
  • Documentation of meeting notes
  • Creation, editing and formatting of project specifications
  • Support with business development proposals, resumes and qualifications
  • Strong computer and typing skills
  • Excellent verbal, written communication and program solving skills
  • Detailed-oriented and thoroughness
  • Deadline oriented, ability to track and maintain and meet multiple concurrent deadlines
  • Strong willingness & eager to learn

Nice To Haves

  • Basic CAD and REVIT skills.
  • Familiarity with Smartsheet.
  • Experience in the engineering consulting and/or architecture industry.

Responsibilities

  • Resumes and Project Profiles (People and Project Quals)
  • Develop Safety Plan(s); this includes Project Safety Plan (PSP) and Health and Safety Plan (HASP) and submit the plans in RMIS
  • Specification editing
  • Complete project tasks assigned from the Project Lead or Project Manager accurately and in a timely fashion
  • Create and maintains project folders
  • Provide formatting and editing for project specifications
  • Provide formatting and editing using WSP or client templates for memos, letters, design review responses, field reports, punch lists, etc.
  • Proofread, provide quality control (QC), and review all documents for standards, branding, etc.
  • Write/Publish meeting minutes
  • Provide project financial and billing Support
  • Schedule deadlines on deliverable calendar
  • Set up Bluebeam sessions for QC reviews
  • Attach checklists
  • Download project documents
  • RFI entry into Newforma & Log Update
  • Submittals entry into Newforma & Log Update
  • Observation Report Formatting
