About The Position

The Registrar oversees academic records, enrollment processing, and scheduling execution at MOHS, ensuring accuracy, consistency, and compliance across the student lifecycle. This role serves as the system owner of student academic records and enrollment status, managing transcripts, transfer credits, enrollment documentation, and schedule implementation to maintain data integrity and operational efficiency. Reporting to the Counseling Manager, the Registrar partners closely with Academic Counselors, and administrative teams to support timely enrollment setup, accurate record maintenance, and effective scheduling execution. Through strong documentation practices and process oversight, the Registrar centralizes critical registrar functions, enabling counselors to focus on student-facing services while supporting a seamless experience for MOHS families. As a growing and evolving school, MOHS values a Registrar who takes initiative, contributes ideas, and actively strengthens systems and processes as enrollment scales. The Registrar is encouraged to identify workflow improvements, refine SOPs, and collaborate cross-functionally to enhance data integrity, efficiency, and the overall enrollment and records experience for students and families.

Requirements

  • 2+ years of experience in school-based registrar work, administrative operations, enrollment coordination, or records management
  • Demonstrated experience processing academic records and/or transcripts
  • Experience working in a Student Information System (SIS) or similarly data-heavy environment
  • High level of accuracy and attention to detail in documentation and data entry
  • Experience managing confidential student information in compliance with FERPA or similar standards
  • Ability to follow established policies and SOPs with consistency
  • Willingness to support administrative tasks, lead a club, or assist with coverage during busy periods
  • Strong organizational skills and ability to manage multiple workflow queues simultaneously
  • Clear, professional written and verbal communication skills
  • Ability to work independently in a fast-paced, remote environment
  • Tech-savvy and comfortable navigating multiple platforms (SIS, Google Workspace, LMS, spreadsheets, CRM tools)

  • Direct experience as a high school Registrar
  • Strong understanding of high school credit systems, graduation requirements, and transfer credit evaluation

Responsibilities

  • Collect, review, and process incoming transcripts and academic records
  • Enter and verify transfer credits in accordance with school policies
  • Maintain accurate, up-to-date student academic records in all systems
  • Ensure consistency and accuracy across transcripts, SAPs, and learning paths
  • Process transcript requests and official academic documentation
  • Process academic enrollment documentation for accepted students
  • Verify receipt and completeness of required academic records for enrollment
  • Track and maintain accurate enrollment status (enrolled, pending, withdrawn, transferred, graduated)
  • Coordinate with administrative teams to ensure timely enrollment setup
  • Process withdrawals, transfers, pauses and re-enrollments in accordance with policies
  • Set-up new student schedules based on counselor-defined academic plans in Learning Path
  • Process course finalizations according to SOP
  • Manage Google Classroom setup and adjustments
  • Excuse Checkpoints in Google Classroom as directed by Academic Counselors
  • Execute schedule changes and corrections as directed by Academic Counselors
  • Flag IEPs, 504s, and other required documentation for counselor review
  • Ensure student records meet compliance and documentation requirements
  • Support graduation audits and eligibility documentation
  • Maintain clear records to support internal reviews and reporting
  • Communicate with families regarding enrollment status, missing records, transcript requests, and scheduling logistics
  • Serve as the primary point of contact for student academic enrollment related inquiries
  • Collaborate closely with Academic Counselors on complex or non-routine cases
  • Maintain clear documentation and handoff processes between teams
  • Apply consistent registrar practices across all student records
  • Support the development and maintenance of registrar SOPs
  • Identify workflow inefficiencies and recommend process improvements
  • Ensure data integrity across systems to support reporting and decision-making
