About The Position

At Firmdale Hotels, exceptional hospitality is at the heart of everything we do. We are looking for a confident and commercially minded Food & Beverage Administrative Coordinator to support revenue generation across our restaurants and events spaces while delivering a seamless and personalized guest experience. This role is integral to the success of our Food & Beverage operations, acting as a key point of contact for restaurant and event enquiries. Through thoughtful communication, attention to detail, and proactive coordination, you will help convert enquiries into confirmed bookings, maximize covers and event spend, and support the wider Food & Beverage and Events teams.

Requirements

  • Previous experience in hospitality reservations, events coordination, or sales support, ideally within a luxury or lifestyle hotel environment
  • Strong commercial awareness with the ability to confidently convert enquiries into bookings
  • A warm, professional, and engaging communication style with excellent phone and email etiquette
  • Highly organized with exceptional attention to detail and a proactive approach
  • Competent in Microsoft Office, particularly Excel; experience with OpenTable, POS systems, Opera and/or Delphi is advantageous
  • Flexible, collaborative, and guest-focused, with a genuine passion for hospitality

Responsibilities

  • Proactively convert event enquiries into semi-private or exclusive restaurant dining experiences
  • Manage and convert Food & Beverage reservations and event enquiries via phone and email, ensuring all interactions reflect warm and engaging service style in line with Firmdale standards of operation
  • Maximize revenue through effective table management, timings of reservations, menu upselling, and prioritizing high-value and repeat guests
  • Identify and communicate potential sales opportunities and qualified leads to the Sales & Events team
  • Maintain accurate and detailed booking records across all reservation systems
  • Assist in preparing sales, reservations, and performance reports to support forecasting and business planning
  • Ensure clear and consistent communication across Food & Beverage, Events, Kitchen, Front Office, and other hotel departments
  • Provide administrative support to Food & Beverage Managers and Supervisors, including GM reports, menu development and formatting
  • Support restaurant host teams and service operations during peak periods, acting as a liaison to ensure booking guidelines are followed
