The Revenue Cycle Manager will oversee and optimize all activities related to revenue recognition, billing, fee calculations, accounts receivable, and cash application for Waverly. This role ensures accuracy, timeliness, and transparency across the firm’s revenue operations while supporting compliance with SEC and industry standards. The ideal candidate brings strong financial acumen, exceptional attention to detail, and experience managing the unique billing structures of advisory firms.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
  • 5–7+ years of experience in revenue cycle management, billing operations, or financial operations—preferably within an RIA or financial services organization.
  • Strong understanding of AUM‑based fee structures, custodial billing, and RIA operational workflows.
  • Advanced proficiency with Excel and familiarity with industry software platforms.
  • High attention to accuracy and detail.
  • Strong analytical and problem‑solving skills.
  • Ability to manage multiple deadlines in a fast‑paced environment.
  • Excellent communication and cross‑functional collaboration skills.
  • Process‑oriented with a continuous improvement mindset.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization’s facilities.

Nice To Haves

  • Experience with portfolio management systems (e.g., Orion, Tamarac, Black Diamond).
  • Knowledge of SEC custody and billing rules.
  • Prior leadership or process‑ownership experience.

Responsibilities

  • Manage the end‑to‑end revenue cycle, including fee calculations, invoicing, collections, and reconciliation.
  • Oversee recurring billing cycles (AUM‑based billing, retainer fees, hourly/project fees, and performance‑based billing where applicable).
  • Ensure accurate revenue recognition in accordance with GAAP and RIA regulatory standards.
  • Maintain and validate advisory fee schedules, client agreements, and tiered pricing structures.
  • Oversee quarterly billing processes, including AUM pulls, prorated billing, new client onboarding fees, and termination adjustments.
  • Review custodial billing files for completeness and accuracy.
  • Manage billing systems, CRM integrations, portfolio accounting platforms, and custodial data feeds (e.g., Orion, Black Diamond, Tamarac, Schwab, Fidelity).
  • Identify and implement process automation opportunities to reduce errors and increase efficiency.
  • Prepare revenue reports, billing variance analyses, and aging reports for leadership and finance teams.
  • Monitor key performance indicators (KPIs) such as billing accuracy, days outstanding, and cash‑flow timing.
  • Support annual budgeting and forecasting related to revenue trends.
  • Ensure documentation and billing practices align with SEC requirements and internal compliance frameworks.
  • Maintain audit‑ready records and support regulatory exams related to billing and compensation.
  • Partner with advisors, operations, and finance teams to resolve billing questions, exceptions, and client inquiries.
  • Provide training and guidance to team members on billing systems and processes.
  • Handle escalated billing issues with professionalism and urgency.
