About The Position

The Senior Executive Assistant to the CEO provides high level‑level administrative, logistical, and coordination support to the President & CEO, ensuring the smooth execution of daily activities, meetings, communications, and executive office operations. This role manages the CEO’s schedule, information flow, travel, meetings, and logistics while supporting leadership rhythms, (e.g., executive meetings, leadership offsites, governance or board‑adjacent preparation), events, and follow-up. The position requires proactive problem-solving, strong organizational skills, executive presence, attention to detail, excellent communication skills, discretion, and the ability to manage competing priorities in a fast-paced‑paced executive environment.

Requirements

  • 10+ years of progressively responsible executive support experience, including direct support to a senior executive; experience supporting a CEO, President, or C‑suite executive, ideally within a public company environment.
  • Bachelor’s degree required.
  • Position is based in the Dallas office with a minimum of 4 days a week and 5 days when CEO is present to provide close, in‑person coordination with the CEO and Office of the CEO team to support meetings, logistics, and real‑time emerging priorities.
  • Expect to be available evenings and weekends to respond to urgent requests, especially when CEO is traveling.
  • High emotional intelligence and the ability to interact confidently with senior leaders and external stakeholders.
  • Advanced proficiency with executive productivity tools and presentation software.
  • Extreme discretion and the utmost confidentiality and professionalism at all times.

Responsibilities

  • Proactively manages the CEO’s calendar, schedules meetings, coordinates stakeholders, and protects focus time.
  • Monitors and triages the CEO’s email, flagging priorities and drafting routine responses.
  • Prepares agendas, pre‑reads, materials, and briefing documents for CEO meetings.
  • Tracks action items and coordinates follow‑ups with internal partners.
  • Maintains CEO files, contact lists, and key documents.
  • Supports budget tracking and administrative processes.
  • Coordinates with IT, Facilities, and internal partners to support executive office needs.
  • Coordinates agendas, preparation, and logistics for CEO Committee and other leadership meetings.
  • Ensures materials, sequencing, and stakeholder alignment are in place ahead of each session.
  • Books and manages complex travel itineraries, including flights, lodging, ground transportation, and last‑minute changes.
  • Processes expense reports and reconciliations related to executive travel and activities.
  • Supports planning and execution of CEO‑sponsored trips or events, traveling as needed for onsite coordination.
  • Coordinates venues, vendors, catering, AV, materials, seating, and onsite logistics for key events.
  • Manages the CEO’s speaking, awards, and conference itinerary in partnership with Communications and Marketing.
  • Maintains exceptional organization and follow‑through across calendar, meetings, travel, and logistics.
  • Manages multiple priorities with accuracy and attention to detail.
  • Builds reliable, repeatable processes that keep the CEO’s day running smoothly.
  • Owns workstreams, logistics, and follow‑ups end‑to-end.
  • Tracks action items and ensures commitments are met independently.
  • Continuously improves workflows, tools, and systems.
  • Learns and adapts to CEO preferences.
  • Embraces new tools and methods that enhance productivity.

  • Drafts accurate, appropriately toned communications and meeting materials.

  • Builds strong relationships across the CEO Committee, Executive Committee, and enterprise partners.
  • Collaborates effectively with Communications, Marketing, IT, Facilities, Finance, and other teams.
