The Senior Leadership Coordinator delivers advanced administrative, organizational, and strategic support to up to five C-Suite executives, with a primary focus on the CEO. The role serves as a structured accountability partner to the CEO—proactively tracking commitments, escalating risks, and ensuring deadlines are met—while simultaneously supporting the C-Suite executive team across multiple concurrent projects. As a primary liaison and gatekeeper, the Senior Leadership Coordinator enables executives to remain focused on strategic priorities while masterfully managing competing demands, providing candid and timely feedback, and leveraging AI tools to drive efficiency and performance. This position is based in Tampa, FL.

Requirements

  • Bachelor’s degree in business administration, communications, or a related field preferred (or equivalent experience).
  • Extensive experience supporting C‑suite or senior executives in fast‑paced, high‑growth environments.
  • Advanced proficiency in Microsoft Office Suite.
  • Comfort and demonstrated experience using AI-based productivity tools (e.g., Claude, ChatGPT, Copilot) to enhance work output, synthesize information, and streamline administrative workflows.
  • Adaptable to learning new computer software/applications.
  • Exceptional organizational and time‑management skills, with the ability to manage competing priorities under tight deadlines.
  • Strong written and verbal communication abilities, including drafting executive‑level correspondence and presentations.
  • High emotional intelligence with the ability to navigate sensitive situations and maintain strong professional relationships.
  • Proven ability to exercise sound judgment, discretion, and confidentiality in all matters.
  • Demonstrated success in anticipating needs, solving problems proactively, and taking initiative without direction.
  • Strong analytical skills with the ability to create actionable summaries and recommendations.
  • Experience coordinating complex travel, events, and logistics across multiple time zones.
  • Ability to remain calm, adaptable, and solutions‑oriented in rapidly changing circumstances.

Responsibilities

  • Serve as a structured accountability partner to the CEO—proactively tracking priorities and commitments, following up persistently on outstanding tasks, flagging risks to deadlines, and ensuring day-to-day operational execution remains on track.
  • Provide comprehensive administrative and strategic support including calendar management, communication oversight, and preparation of materials for meetings and presentations.
  • Monitor, track, and organize the tasks, deadlines, and strategic initiatives to ensure consistent progress and accountability.
  • Prepare reports, briefings, and summaries to support informed decision‑making.
  • Uphold strict confidentiality and demonstrate professionalism in all interactions.
  • Manage complex calendars, including scheduling, rescheduling, and prioritizing meetings based on strategic importance.
  • Coordinate travel arrangements, including itineraries, accommodations, and logistics.
  • Prepare, edit, and format correspondence, presentations, reports, and briefing materials.
  • Organize and maintain digital filing systems to ensure quick access to critical information.
  • Manage meeting logistics, including agenda preparation, attendee coordination, technology setup, venue selection, refreshment selection and follow‑up actions.
  • Screen, prioritize, and route incoming communications to ensure timely and appropriate responses.
  • Maintain accurate records of commitments, deadlines, and deliverables to support seamless execution.
  • Coordinate special projects, research assignments, and cross‑departmental initiatives as needed.
  • Provide concurrent, prioritized administrative and project support to up to five C-Suite executives, managing competing demands across multiple workstreams and maintaining clear communication on status and priorities.
  • Deliver timely and candid feedback to executives and stakeholders when priorities conflict, timelines are at risk, or expectations require realignment; communicate directly and constructively even in sensitive situations.
  • Leverage AI tools and emerging technologies to enhance productivity, streamline workflows, draft communications, and synthesize information efficiently.
