About The Position

Reporting to the Director, Physical & Occupational Therapy, the Physical Therapy Senior Manager is responsible for identifying and responding to all operational service needs. The Physical Therapy Senior Manager will oversee and manage the Physical & Occupational Therapy Site Supervisors and work with the Ancillary Services Manager to oversee Centralized Scheduling for the Physical & Occupational Therapy department. The successful candidate will be responsible for site visits to therapy practices to enhance communication, facilitate issue resolution, improve and streamline processes, oversee all training and orientation and work with Site Supervisors on individual therapist metrics and quality as well as maximize schedule utilization and scheduling efficiency. The Physical Therapy Senior Manager must have the ability to prioritize multiple tasks; to work effectively in both independent and team environments; to work at many levels within the DMG organization; to be organized with attention to detail and follow though; to have excellent computer skills; possess diplomacy and strong interpersonal skills; have an ability to problem solve, think creatively and possess a strong sense of urgency. Requirements

  • Bachelor’s degree in physical therapy or occupational therapy
  • Current PT/OT license in the state of Illinois
  • Demonstrated computer skills are required, including Microsoft Word, Powerpoint, and Excel

Responsibilities

  • Develops, directs and implements as overseen by the Director, Physical & Occupational Therapy, processes designed to foster positive relations between contracted and employed DMG physicians, their administration and clinical staff and the DMG Physical & Occupational Therapy department.
  • Promotes all aspects of the Physical & Occupational Therapy department throughout the DMG organization by:
  • Building and strengthening relationships with internal DMG administrative departments that impact on the ability of the Physical & Occupational Therapy department to provide support to DMG practices. Understands the ‘end-to-end’ business processes and their impact on providing excellent service to referring DMG physicians.
  • Developing and implementing an on-boarding handbook and referring process for newly acquired DMG physician practices with measurable goals and objectives. Implement the on-boarding process and transition new practices from ‘Day 1 launch’ through provision of all appropriate therapy requirements by transferring all prior referral relationships to DMG.
  • Updating and refining the current referral and ordering instructions, including patient instructions, and evolving the current process to achieve full compliance by all referring practices.
  • Acting as a liaison between Site Supervisors and the Director, Physical & Occupational Therapy to facilitate growth and expansion of staff via specialty programs as determined by referral patterns.
  • Managing all Site Supervisors in daily clinical operations as well as individual performance in their assigned role as Site Supervisor including performing or delegating training, mentoring, and coaching.
  • Using reporting tools that measure schedule utilization and direct units/hour, developing strategies to maximize therapists’ productivity; work with Site Supervisors to educate new staff, coach under-performing staff, and, when necessary execute Performance Improvement Plans
  • Resolving all Epic/EMR processes inclyding incorporating all patient information into Epic, standardizing documentation and adjusting all templates as necessary for maximum efficiency and compliance
  • Coordinating, with Site Supervisors, quarterly chart audits for all staff therapists and providing twice yearly documentation in-services
  • In collaboration with Site Supervisors, oversee hiring and training of new Physical & Occupational Therapy technicians; review, refine and standardize on-boarding checklists, orientation checklists and technician competencies
  • Working with the Ancillary Services Manager and Scheduling Supervisor to oversee the Centralized Scheduling staff and the scheduling process for the whole of the Physical & occupational Therapy Department. Ensure schedulers have tools necessary to ensure access to therapy services are no limited due to barriers within Epic. Collaborate with the Scheduling Supervisor for any coaching or performance improvement needed for this staff.
  • In collaboration with Lead Receptionists, oversee hiring and training of all front end staff; review, refine and standardize on-boarding checklists and orientation resources and competencies
  • Streamlining front end operations from ‘check-in’ to ‘check-out’ of a patient experience such that all Physical & Occupational Therapy locations at DMG are utilizing the same workflow.
  • Documenting all project development activity using a spreadsheet based tool and communication with Director, Site Supervisors, Staff Therapists and support staff as appropriate.
  • Managing the Physical & Occupational Therapy department customer survey process, including use of FOTO, both for patient and physicians, including reporting of results.
  • Utilizing customer feedback data to determine areas of consideration and implementing changes and process improvement as needed.
  • Managing and maintaining a pro-active flow of communication within the department including feedback from the Director and referring physicians and updates on projects and initiatives.
  • Attending monthly managers’ meetings; presenting updates on projects and initiatives
  • Assisting the Director in the Physical & Occupational therapy department annual budget process.
  • Maintaining files and records according to DMG, and HIPAA guidelines as appropriate and as relevant
  • Participating in professional development through continuing education
  • Demonstrating competence in applicable professional skills.
  • Performing other duties as assigned
