ESSENTIAL DUTIES AND RESPONSIBILITIES: This function maintains responsibility for planning, developing, coordinating, and controlling the steps necessary to carry out a project within an established time frame and ensuring its completeness. A critical component of the function is an understanding of the project within the bank’s overall strategic plan, as well as the relationship between project components to ensure early risk identification and impact mitigation. Activities may include management visibility and reporting; resource identification and allocation; management of project budget; assuring that project dependencies and tasks remain on schedule and meet stakeholder requirements; and clarifying and redefining specifications. The incumbent will also work with the PMO Program Manager to develop policy that drives best practice and efficiency in the organization. The second critical component of this role is defining requirements and facilitating the development of process workflows in mission-critical tools to standardize PM best practice adoption across the enterprise. Analysis & Planning Drives the development of business requirements with senior bank personnel and subject matter experts. Oversees the development of technical specification and implementation plans by the project teams. Ensures that implementation plans are accurately built within Project Server and verifies resource availability through ongoing maintenance and utilization of workload forecast tools. Responsible for facilitating the design of systems and ensuring that accurate documentation of the process architecture exists. Works with the project teams to utilize existing technological capabilities and legacy systems when possible and ensure project documentations defines in detail the operational impact, gaps, and solutions. Prepares or facilitates the preparation of the return on investment and cash flow models for the systems and project initiatives and incorporates the information into a cost analysis and business case. Prepares business requirements documents, project definition documents, and project agreements. Ensures all baseline documentation is reflected throughout project lifecycle. Drives continuous improvement through post-project reviews and documents findings. Maintains detailed knowledge of the deployed core systems within the bank focusing on the deployed feature/function set against actual system capabilities. Works with the business line and division head to construct solutions both systematically and administratively, to leverage existing solutions for the purpose of operational efficiency and competitive advantage. Remains knowledgeable about emerging technologies in eCommerce and digital finance and applies that knowledge to strategic planning and system implementations. Project Management Monitors and reports progress against plan. Manages the impact of delays and/or conflicting priorities by leveraging cross-functional teams. Develops risk mitigation or “plan rescue” strategies using knowledge of systems, bank processes, and resource capabilities. Manages relationship between vendors, internal customers, and IS personnel regarding problems with technological solutions. Escalates resource, budget or implementation impediments in a timely manner. Develops potential solutions based on market and technical knowledge. Provides support for business applications and serves as a liaison for the development, implementation, and maintenance of existing, new, and enhanced systems. Analyzes system utilization plans and facilitates training sessions and other presentations. Manages multiple large projects by tracking resources, prioritizing projects, and providing guidance to personnel as needed. Manages the budget for each assigned project, coordinates billing and verifies accounts payable. Organizes and updates contract, legal, and project documents and files for each assigned project and ensures they are published in appropriate repositories. Facilitates/chairs meetings and distributes documentation in a timely manner. Ensures project statuses are maintained within Project Server and reported in accordance with established guidelines. Systems Knowledge Maintains a detailed understanding of the features and functions of the deployed technologies and applications. Researches and adheres to banking laws and regulations as defined in company policies and procedures pertinent to position. Assists project team members with completion of risk assessments, training plans, user guides, department procedures and other required documentation Business Process Engineering Translates manual processes and into system workflow designs that can be incorporated into SharePoint. Leverages strong understanding of SharePoint and its integration with Project Server in order to support creation and improvement of processes and procedures. Able to design and understand business process maps to document processes and work with internal teams to develop improvements to those processes.
