About The Position

The School of Medicine Integrated Resources - Finance team has an exciting opportunity for multiple Shared Services Analysts. The School of Medicine (SoM)’s Integrated Resources - Finance team was established in June 2023 with the launch of Workday Finance. The model centralizes finance functions to enhance efficiency, ensure compliance, and streamline operations. The mission of the Integrated Resources - Finance team is to standardize financial processes to ensure compliance, drive efficiency and effectiveness, and deliver high-quality, reliable financial services. By continuously improving service delivery, data accuracy, and stakeholder responsiveness, Integrated Resources - Finance supports SoM’s mission to improve the health of the public. SoM’s Integrated Resources – Finance unit has four pods specializing in different functional areas: The Reimbursement pod processes and reviews reimbursements, ensuring compliance for UW employees and offering non-employee reimbursement services to select units. The Procurement pod enters and processes procurement-related transactions, including monitoring and troubleshooting outstanding invoices and credit holds, and completes compliance reviews to ensure accuracy and compliance with applicable policies. The Revenue pod prepares, processes, and completes compliance reviews for customer invoices, facilitating new customer registration and running receivables reports as needed. The Accounting pod processes journal entries and corrects financial transactions, which requires expertise in financial compliance and reporting accuracy. The Shared Services Analyst is a compliance-focused subject matter expert within the UW School of Medicine (SoM) Integrated Resources – Finance team. Analysts ensure the accuracy, completeness, and compliance of financial and administrative transactions for multiple departments across the School of Medicine. This role combines auditing incoming requests for compliance with the latest UW and SoM policies and guidance, interpreting policies, initiating and reviewing transactions, and providing advisory support to client units. This position contributes to both day-to-day operations and continuous improvement initiatives in alignment with University, State, and Federal requirements.

Requirements

  • A Bachelor’s Degree and two years of work experience providing customer service in a HR, payroll, procurement and/or finance business unit.
  • Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Responsibilities

  • Review and process or return financial transactions for correction. This may include accounting journals or adjustments, travel reimbursements, purchasing requests, external invoicing, and other fiscal related transactions.
  • Confirm alignment with University, State, Federal, and SoM policies before transactions are finalized.
  • Interpret complex policy layers and provide guidance to departmental staff on transaction requirements.
  • Act as a subject matter expert for assigned workstreams, advising client units on compliance concerns.
  • Escalate high-risk or unresolved compliance issues to the Supervisor or appropriate central office.
  • May initiate transactions directly on behalf of clients, especially those that require analysis.
  • Identify recurring errors, process breakdowns, or risk areas and communicate findings to departments.
  • Participate in cross-pod discussions to share compliance knowledge and contribute to solution design.
  • Collaborate with supervisors, managers, and specialists to enhance processes and reduce error frequency.
  • Contribute ideas and expertise to the development of standard operating procedures (SOPs) and training materials.
  • Compile and report on metrics related to compliance, transaction timeliness, and quality for assigned workstreams.
  • Participate in audits and assist in documenting compliance controls.
  • Contribute to continuous improvement initiatives by providing feedback and identifying opportunities for enhanced accuracy, efficiency, and client service.
  • Support the onboarding of new Integrated Resources - Finance team members.
  • Prepare and deliver compliance-focused training sessions for department staff.
  • Participate in knowledge-sharing sessions with Specialists and Supervisors to maintain consistent standards.
