About The Position

TruMed Systems, Inc. is the fastest growing vaccine storage and handling company. TruMed serves individual clinics, major health systems, and public healthcare facilities throughout the U.S. TruMed’s mission is to improve health care practitioners’ total outcomes by creating point-of-care inventory management systems that support product efficacy, patient safety, and practice objectives. Our first two products are the AccuVax® Vaccine Management System and AccuShelf® Inventory Management System. Together, our products secure medication and material storage and management that automates control and integrity, minimizes risks of incorrect medication delivery, tracks inventory for all medications and optimizes office workflow in the healthcare settings. The Shipping and Receiving Specialist is responsible for managing the full lifecycle of inbound and outbound shipments, supporting post-sale service operations, and coordinating inventory and parts logistics. This role serves as a critical link between Operations, Support, and Engineering teams to ensure accurate, timely, and organized handling of products and replacement parts.

Requirements

  • High school diploma, GED or equivalent
  • Strong problem-solving skills and the ability to follow troubleshooting instructions effectively.
  • Strong verbal and written communication skills, with the ability to communicate technical information clearly.
  • Ability to thrive in a fast-paced environment and manage time-sensitive tasks.

Responsibilities

  • Configure products to be shipped out, ensuring they are properly prepared, labeled, and packaged prior to dispatch.
  • Ship replacement parts to units in the field as requested by the Support team, coordinating urgency and accuracy of fulfillment.
  • Receive replacement parts returned from the field and process them systematically, including:
  • Assessing the condition of returned parts upon receipt.
  • Routing parts to the Engineering team for failure analysis as appropriate.
  • Restocking serviceable parts that are confirmed in good condition for reuse.
  • Disposing of parts that are no longer needed or are beyond use in accordance with internal protocols.
  • Support inventory tasks including receiving, tracking, reporting stock levels, and preparing orders for deployments.
  • Maintain accurate inventory of general-use equipment, shared tools, and materials in designated storage areas.
  • Help ensure general organization and cleanliness of common areas and storage rooms throughout the facility.
  • Collaborate cross-functionally with Support, Field Service, and Engineering teams to ensure effective execution of maintenance and service-related activities.
  • Use software tools (e.g., Salesforce, Excel, internal systems) to manage workflows, update tickets, and track ongoing tasks.
  • Maintain department documentation and assist in the preparation of routine and ad hoc reports.
  • Assist with data collection and reporting requirements.
  • Assists in the implementation of operational projects as needed.
  • Performs other duties as assigned.
