About The Position

The Social Event Manager plays a vital role in bringing celebrations to life at The Ben. Working closely with the Catering Sales Manager, this position is responsible for detailing and coordinating social events once they are booked—ensuring that every element of the event is thoughtfully planned and flawlessly executed. From weddings and milestone celebrations to elegant dinners and private gatherings, the Social Event Manager serves as the primary point of contact for clients during the planning phase, translating their vision into detailed event orders and operational plans for the hotel team. This role requires exceptional organization, attention to detail, and a passion for creating memorable experiences that reflect The Ben’s luxury standards.

Requirements

  • Minimum 2 years of experience in catering, events, or hospitality coordination.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with multiple hotel departments.
  • Proficiency in event management systems and Microsoft Office programs.
  • Ability to remain calm and solutions-focused in a fast-paced event environment.
  • Flexible availability including evenings, weekends, and holidays as required.

Nice To Haves

  • Experience detailing social events such as weddings, celebrations, and private functions preferred.

Responsibilities

  • Manage and detail all assigned social events once confirmed by the Catering Sales Manager.
  • Conduct planning meetings with clients to finalize menus, timelines, room setups, and event logistics.
  • Prepare and distribute Banquet Event Orders (BEOs) with complete and accurate details.
  • Ensure all event specifications are communicated clearly to operational departments.
  • Serve as the primary contact for clients during the planning process.
  • Provide guidance and recommendations to enhance the event experience.
  • Ensure client expectations are understood and translated into actionable event plans.
  • Maintain regular communication with clients to ensure confidence and clarity throughout the planning process.
  • Collaborate with culinary, banquet, front office, and other hotel departments to ensure smooth event execution.
  • Participate in weekly BEO and operations meetings to review upcoming events.
  • Monitor event timelines and ensure all departments are prepared for successful delivery.
  • Serve as a liaison between the client and hotel operations on the day of the event when necessary.
  • Address last-minute adjustments or requests with professionalism and efficiency.
  • Ensure the event experience aligns with The Ben’s service standards and guest expectations.
  • Maintain accurate event files, contracts, and operational documentation.
  • Ensure event details are updated within event management systems.
  • Support the catering and events team with additional tasks as needed.
