Job Description: Position Overview If you enjoy research, solving puzzles, and working with information that truly matters, this role is a great fit. You will help keep real estate data accurate and trustworthy—something lenders, title companies, and homebuyers rely on every day. You don’t need to be an expert to start. If you bring curiosity, attention to detail, and a willingness to learn, we will teach you the rest. You’ll join a friendly, supportive team that values collaboration, growth, and doing meaningful work together. We are looking for a detail‑oriented and dependable person to join our Recordation Team. In this role, you will read and understand state and local rules, track recording fees and transfer taxes, and help maintain our database of real estate closing costs. At Cotality, you will work with a supportive, accessible, and collaborative group of professionals who value teamwork and active listening. Your work will directly support our clients and help ensure accuracy in the real estate market.

Requirements

  • Proficient in Microsoft Word, Excel, Outlook, Teams, and internet research
  • Comfortable researching information online and analyzing findings

Responsibilities

  • Research and verify recording rules, customs, fees, and taxes across states and counties
  • Identify and fill data gaps to maintain accuracy
  • Deliver recordation data updates on time
  • Monitor laws and regulations to confirm current fees and tax rates
  • Contact state and local government offices to gather or confirm changes
  • Own assigned data areas (by state, region, or category)
  • Use Salesforce and internal tools to manage and track data
  • Document rules, customs, and notes needed to explain fees and taxes
  • Write clear requirements to reflect rule changes or new features
  • Follow testing steps and verify the results of data changes
  • Perform regular quality checks on data and calculations
  • Proactively identify upcoming changes and follow procedures to update the system
  • Work independently and with teammates to maintain high‑quality data
  • Support the team as needed
  • Analyze data and share ideas to improve products and client integrations
  • Help resolve data‑related inquiries from Support, Client Success, Product, and Sales
  • Serve as a subject‑matter contact for internal questions about recording and taxes
  • Communicate with Support and other teams to assist clients
  • Resolve client issues promptly, including escalations
  • Attend team and company meetings
  • Perform other duties as needed
